Job Overview:
We are seeking a highly organized and detail-oriented part-time Office Assistant to join our team. As an Office Assistant, you will play a crucial role in supporting the day-to-day operations of our office. The ideal candidate will have excellent communication skills, be proficient in office management tasks, and be able to handle multiple responsibilities with ease. Previous office experience is important and a great attitude and upbeat personality are vital since part of the job entails fielding phone calls and responding to emails from our clients, suppliers and our team in the field. Solid writing skills/grammar and great organization and follow-up skills are a must. The ideal candidate would work in our office in the afternoons roughly starting sometime betwen 1pm and 3pm and going until 6 pm or 7pm, and if available, we also would love someone who would like some set hours on the weekend.

Responsibilities:
-Calling and emailing clients to update credit cards, make sure they received quotes or invoices, or to answer questions.
– Answering phone calls and directing them to the appropriate staff members
– Managing calendars and scheduling appointments
– Assisting with administrative tasks such as quoting and proposal preparation
– Providing customer support and addressing inquiries or concerns
– Assisting with office management duties as needed

Experience:
– Previous experience working with phone systems and handling calls professionally
– Experience as an office assistant or in a similar administrative role is preferred
– Strong customer service skills and the ability to handle difficult situations with professionalism
– Excellent organizational skills and the ability to prioritize tasks effectively
– Proficiency in calendar management software and other office productivity tools
– Attention to detail and strong follow-up skills
– Knowledge of general office procedures and software tools
– Plus if you have experience working in the pool service, repair, building, or general construction industries but not required.
