Administrative Assistant/HR

Reports To: Director, Quality Systems and Programs Operations, Manager, Engineering & Quality

Department: Compliance & Administration

Summary: Provides administrative support specifically to the Human Resources (HR) & Quality Assurance departments, handling tasks such as maintaining employee and QA/QC Training records, assisting with recruitment and onboarding, processing paperwork in support of HR and administrative functions, scheduling training, answering employee questions, and managing basic HR functions under the guidance of an HR manager; essentially acting as the clerical backbone of the HR department. Essential Duties and Responsibilities (Other duties may be assigned)

· Employee record management: Updating employee information, filing documents, maintaining personnel files

· Recruitment support: Posting job openings, screening resumes, scheduling interviews, conducting reference checks

· Onboarding new employees: Preparing paperwork, setting up accounts, conducting orientation sessions

· Benefits administration: Answering questions about employee benefits, processing benefit changes

· Payroll support: Gathering time and attendance data, assisting with payroll calculations

· Compliance management: Ensuring adherence to employment laws and HR policies

· Reporting and analysis: Generating HR reports on employee turnover, headcount, and other metrics

· Communication management: Answering employee inquiries, responding to emails, handling phone calls

· Calendar management: Scheduling meetings, appointments, and travel arrangements for executives and team members.

· Communication management: Answering phone calls, managing emails, and directing messages to the appropriate individuals.

· Office administration: Maintaining filing systems, ordering office supplies, and managing inventory.

· Meeting coordination: Preparing agendas, taking meeting minutes, and distributing meeting summaries.

· Document preparation: Drafting correspondence, letters, reports, and presentations.

· Travel arrangements: Booking flights, hotels, and transportation for business trips.

· Reception duties: Greeting visitors, directing them to the appropriate person, and managing the front desk.

· Data entry and recordkeeping: Maintaining accurate records and updating databases.

· Project support: Assisting with project planning and coordination as needed.

Qualifications:

Education/Experience:

High school diploma or equivalent. At least (5) years’ experience in duties described. Advanced capabilities with standard software products: Word, Excel, PowerPoint, accounting software. Comfort in learning and using other applications, such as MS Project, Adobe Acrobat, imaging / documentation, CRM, etc.

Math Ability:

General mathematical skills required to support standard business functions and duties described: accounting, purchasing, pricing, etc.

Reasoning Ability:

Ability to define problems, collect data, establish facts, and draw valid conclusions. Ability to interpret an extensive variety of technical instructions and deal with multiple variables, both abstract and concrete.

Leadership and Supervisory Responsibilities:

Must be able to manage and motivate others (including coworkers and 3rd parties) to achieve results in duties described (e.g., scheduling, compliance documentation, suppliers, etc.).

Job Type: Full-time

Pay: $50,000.00 – $60,000.00 per year
