Job Overview
We are seeking a highly organized and proactive Executive Assistant to provide comprehensive administrative support to our executive team. The ideal candidate will possess exceptional communication skills, a keen attention to detail, and the ability to manage multiple tasks efficiently. This role is pivotal in ensuring smooth operations within the executive office and will involve calendar management, event planning, and maintaining effective communication channels.
Responsibilities
Manage and maintain executives’ calendars, scheduling appointments and meetings while prioritizing conflicting demands.
Provide administrative support including document preparation, filing, and maintaining records using tools such as DocuSign.
Handle phone systems with professionalism, ensuring effective phone etiquette when communicating with internal teams and external stakeholders.
Organize and coordinate events, meetings, and travel arrangements for executives.
Assist in the preparation of reports, presentations, and other documents using Google Suite applications.
Maintain confidentiality of sensitive information while managing correspondence on behalf of executives.
Support the executive team with various clerical tasks as needed to enhance productivity.
Qualifications
Proven experience as an Executive Assistant or in other administrative roles.
Strong proficiency in Google Suite (Docs, Sheets, Slides) and familiarity with DocuSign for document management.
Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced environment.
Demonstrated ability in event planning and coordination of logistics for meetings or conferences.
Exceptional communication skills both verbal and written, with a focus on professional phone etiquette.
Strong attention to detail and problem-solving abilities; proactive in identifying needs before they arise.
Ability to work independently as well as collaboratively within a team setting.
