Job Summary
We are seeking a highly organized and proactive Executive Assistant to support our executive team. The ideal candidate will possess exceptional office management skills and demonstrate proficiency in calendar management, data entry, and transcribing important documents. This role requires a detail-oriented individual who can handle multiple tasks efficiently while maintaining a professional demeanor.
Duties
Manage and maintain executives’ calendars, including scheduling meetings, appointments and other administrative support as required.
Coordinate travel arrangements and itineraries for executives.
Prepare and transcribe meeting minutes, prepare reporting, presentations, org chart edits and other documents as needed.
Maintain organized filing systems for both physical and digital documents.
Plan and execute off site leadership meetings and other relative events.
Assist executives with expense reporting.
Back up to the Receptionist role.
Support executives with ad hoc tasks, special projects and other duties assigned.
Experience
3+ years of proven experience as an Executive Assistant.
Strong prioritization, organization, attention to detail, ability to track deadlines and follow up on action items.
Ability to multitask while managing various projects, deadlines, and shifting priorities efficiently.
Adaptable in a fast-paced, changing environment by taking the initiative to proactively anticipate needs and work through challenges with flexibility.
Proficient in all functions of MS Office (Excel, PowerPoint, Word, Teams, Outlook).
Familiarity with phone systems and data entry processes.
Excellent communication skills, both written and verbal.
Ability to work independently while being a collaborative team player.
Handle confidential information with discretion.

Pay: $55,192.00 – $60,884.00 per year
