Summary: The Executive Assistant will help with the day-to-day activities and demands of our CEO and Executive Leadership team. The ideal candidate will be a proactive problem solver who has strong communication skills and pays close attention to detail. They will need to think holistically and proactively to improve the effectiveness of the executive leadership team, the overall organization, its strategy, and its processes. The position requires prior experience working in a fast-paced environment, performing administrative duties, and supporting executive-level management, and should have meticulous and exceptional organizational and Microsoft Office (Excel, PowerPoint, Outlook, Teams) skills. This individual must be a self-starter and self-motivator, able to execute with minimal direction. This role will report directly to the CEO of the company, be based in our headquarters in La Grange, Illinois, and must work on-site (remote work policy not applicable).
Essential Duties and Responsibilities include the following. Other duties may be assigned.
Help manage CEO and executive leadership’s professional calendars, logistics, tasks, hydration, nourishment, events, and communications.
Acts as the liaison between the executives, other associates, and stakeholders to ensure consistent communication and involvement or decision-making at the proper time.
Assist the executive team with preparing presentations, papers, and reports as required.
Manage Board Meeting presentations and logistics and assist with relationships with the Board of Directors.
Manage Leadership Meeting presentations and logistics.
Manages the catering of business meetings.
Prepare meeting presentations and ensure that all materials are accurate and professional.
Organize and manage office and electronic files.
Creates and maintains efficient systems and processes to streamline operations.
Ensures timely and effective completion of projects and initiatives of the executive leadership team and achievement of deadlines.
Manage, coordinate, and schedule travel and travel-related activities, such as hotel reservations, transportation, meal planning, business expense reporting, and meetings.
Perform administrative support tasks such as note-taking, task/deadline tracking, email follow-up, and presentation and spreadsheet development.
Maintain professionalism and strict confidentiality with all materials and use discretion while dealing with business and personal information.
Administer the company’s travel and expense reporting system.
Administer the company’s corporate credit card program.
Addresses emergent needs that arise at the request of the leadership team and flexibly attends to them.
Update executives while out of the office on essential items and activities to prevent blindsiding
Meeting and welcoming visitors and guests for onsite events or meetings.
Backup support to front desk administration at company headquarters.
Maintain supplies inventory by checking stock to determine inventory level, anticipating needed. supplies, placing, and expediting orders for supplies, logging supply needs and office expenses.
Assist Human Resources in coordinating activities, events, errands and interviews.
Oversight of the Grayhill Store (online store for company branded items) as a main point of contact for associates.
Assist Finance team with reporting and minor accounting duties.
Other duties as assigned and ad hoc projects.
Education and Experience
Bachelor’s degree in business administration, communications, management, marketing, or a similar field from a four-year college or university (strongly preferred); or four years or more of experience as an Executive Assistant or Chief of Staff who has reported directly to executive-level management.
A High School Diploma or General Education Development (GED) is required.
The candidate must have advanced experience with Microsoft Office365 (Word, Excel, Teams, SharePoint, and PowerPoint)
