Life Simplified is seeking a highly organized and proactive Administrative Assistant and Project Manager to support our Professional Organizing and Move Mangement business. This role is ideal for someone who enjoys wearing many hats handling both back end administrative systems and front facing marketing/sales tasks. If you’re Google Suite Savvy, Canva confident, and love managing details, we’d love to meet you!
Responsibilities
Maintain and update inventory of packing supplies, place and track orders with packaging vendors
Respond to client and partner emails with professionalism and warmth
Manage and update internal spreadsheets and CRM (client and staff)
Maintain accurate W-9 and HR documentation for all staff
Collaborate on team scheduling and scan/ track receipts
Format, proofread, and prepare client documents, newsletters, memos, and forms
Client Onboarding & Automation
Implement and improve automation for new client intake
Maintain and update client project checklists and timelines
Support creation of client-facing eBooks, Etsy templates, or downloadable checklists
Marketing & Sales Support
Draft and send thank-you notes to clients and referral partners
Help design and send marketing materials using Canva
Email and promote Lunch & Learn events to realtors, movers, and other local partners
Develop branded content for social, print, and email campaigns
Attend occasional local networking events and engage vendors for partnerships
Project & Creative Tasks
Take and organize team photos and action videos during job sites (Bonus skill)
Research and establish collaborations with local businesses and service vendors
Support employee evaluation scheduling and performance tracking
Skills & Qualifications
Strong organizational and project management skills
Excellent written and verbal communication
Comfortable using Google workspace (Docs, sheets, Drive and Gmail)
Canva and social media experience
Familiar with CRMS
Ability to work independently and meet deadlines
Sales Mindset with a people-first approach
Familiarity with small business and Move Mangement a plus
Compensation
Part- Time hourly Rate
Competitive pay based on experience
Potential to grow hours and responsibilities over time
