The departmental administrative assistant manages all of the day-to-day operations of the Electrical & Computer Engineering department. This person directs all requests of the department by being the first point of contact for the faculty and chair. All faculty/student/external visitors who make contact, in person, by phone, or by email, are screened by the administrative assistant who must make decisions daily as to how their needs can be serviced. He/she is responsible for coordinating course and room scheduling, employment processing, purchasing, maintaining office supplies, and budget tracking. He/she also responsible for posting jobs and hiring of student employees, all graduate teaching/research assistant contracts, faculty and staff personnel/payroll forms. He/she also hires, supervises and mentors a student office assistant. This person assists and advises students and faculty on their needs, delegating work as appropriate.
Minimum Qualifications:
High school diploma
Three or more years of full-time administrative support experience in a professional office setting
Experience using Microsoft Word in a professional setting to prepare documents, reports, and correspondence
Experience using Microsoft Excel in a professional setting to create and maintain spread sheets to track expenses, projects, and other data
Articulated ability to manage multiple priorities
Experience following established procedures and processes
Excellent written communication skills
Ability to interact effectively with multiple constituents
Ability to take initiative
Preferred Qualifications:
While not everyone may possess all of the preferred qualifications, the ideal candidate will bring many of the following:
Associate Degree
Working experience with Microsoft Office Suite 365, including Excel, and PowerPoint
Working knowledge of Banner and Cognos IT systems
Experience working in a college or university academic office
Demonstrated ability to engage effectively and respectfully with multiple constituents, including faculty, staff, students, parents, and university guests
Successful experience protecting and maintaining confidentiality of information
Successful experience planning and organizing work in observance of dead lines
Experience organizing and delegating work to student workers
