Overview
We are looking for an Administrative Coordinator in St. Louis, MO, for a busy medical professional. The position primarily provides administrative support to the head of a medical practice. Great candidates have a bachelor’s degree (though strong candidates with other degrees will be considered), at least one year experience in administrative support, have proficiency with spreadsheets and accounting principles, and have demonstrated ability to remain on task during busy times.
Responsibilities
Maintain calendars: schedule appointments, coordinate schedules, and follow up to ensure deadlines are met.
Use spreadsheets, software, and primary documents to compile and produce reports and correspondence; transmit and distribute as required.
Become proficient with the employer’s practice management and documenting systems.
Coordinate the administrative team to support and facilitate client services; clarify and document processes.
Interface with the clinical team to streamline operations
Provide customer service to clients to support employer’s business operations.
Oversee and implement regular correspondence and communication with client referral sources.
Serve as a central point for office/medical supplies and client products purchases and tracking.
Ensure all invoices are on file and appropriate documentation accompanies bills and that they are verified by management promptly; reconcile payment accounts.
Enter regular posts to employer’s business social media accounts.
Make travel arrangements and prepare and track expense reports.
Provide support for weekday activities of employer, including completing errands, overseeing and transporting children, and household management.
Communicate regular task-status updates to employer
Other tasks as periodically identified by employer.
Qualifications
Bachelor’s degree (though strong candidates with other degrees will be considered).
1 year of experience in administrative level support.
Considerable knowledge of executive office practices and protocols, and ability to excel at organizational systems, processes, and procedures.
Demonstrated ability to perform with a high degree of professionalism and can work effectively with a wide variety of people.
Keen attention to detail, results-orientation, a proactive approach to work, and the ability to manage multiple activities simultaneously.
Proficiency with the following: Microsoft Office Suite; Automated phone systems, personal computers, and peripherals; Email and calendaring systems and databases; Interacting with those of all ages, including children.
