Job Summary:
The Office Clerk provides essential administrative and clerical support to ensure the smooth operation of the office. Responsibilities include handling correspondence, maintaining files, data entry, and assisting staff with day-to-day tasks. The ideal candidate for this Office Clerk role is organised, detail-oriented, and proficient in office software.
Key Responsibilities:
Administrative Support:
Answer and direct phone calls, take messages, and respond to inquiries.
Greet visitors and direct them to the appropriate personnel.
Sort and distribute incoming mail and prepare outgoing mail (e.g., letters, packages).
Document Management:
Maintain and organize physical and digital filing systems.
Scan, photocopy, and file documents as needed.
Assist in preparing reports, memos, and correspondence.
Data Entry & Record Keeping:
Input and update data in spreadsheets, databases, and company software.
Verify accuracy of information and correct discrepancies.
Office Maintenance:
Monitor and order office supplies, maintaining inventory.
Ensure common areas (e.g., reception, meeting rooms) are tidy.
Assist with scheduling meetings and arranging appointments.
Team Assistance:
Support other departments with clerical tasks as needed.
Assist in coordinating office events or meetings.
Qualifications & Skills for the Office Clerk Role:
Education: High school diploma or equivalent (additional certification in office administration is a plus).
Experience: Prior clerical or administrative experience preferred but not required.
Technical Skills: Proficiency in MS Office (Word, Excel, Outlook) and basic office equipment (printers, scanners).
Soft Skills:
Strong organisational and time-management abilities.
Excellent verbal and written communication.
Attention to detail and problem-solving skills.
Ability to multitask in a fast-paced environment.
Work Conditions for the Office Clerk:
Primarily office-based with standard working hours (may vary for part-time roles).
