General Description / Primary Purpose

The Office Specialist provides comprehensive administrative and operational support to the Controller’s Office, Payroll, DSO Accounting, Treasury, Procurement, and the Athletic Business Office. This role is essential in coordinating office-wide communications, managing routine processes, supporting financial and personnel tracking, and facilitating day-to-day activities across these business units.

Job Functions

Financial and Budgetary Support – 35%

Process settlements for accounts payable checks and direct deposits for vendors and students on behalf of the Controller’s Office, DSO Accounting, Treasury, Procurement, and the Athletic Business Office.
Support the process of settlement for employee and payroll vendors
Reconcile documentation and maintain financial logs and registers for check processing and mail distribution.
Assist in maintaining and monitoring departmental budgets for all offices listed, including annual submissions and quarterly reporting in coordination with the Controller.
Prepare and process budget transfers and journal entries in Workday.
Assist with Student Fee Petition processing and prepare related reports for the AVP for Administration & Finance

Administrative Coordination & Office Support – 30%

Serve as the primary point of contact for general inquiries to the Controller’s Office, Payroll, DSO Accounting, Treasury, Procurement, and the Athletic Business Office; respond to or route complex queries via phone, email, or in person.
Coordinate communications, meeting schedules, and travel logistics across the Controller’s Office, Payroll, DSO Accounting, Treasury, Procurement, and the Athletic Business Office.
Maintain and update content on the websites for the Controller’s Office, Payroll, DSO Accounting, Treasury, Procurement, and the Athletic Business Office, ensuring accessibility and compliance with university standards.
Provides administrative support for day-to-day office needs including ordering supplies, coordinating equipment repairs, and ensuring smooth administrative workflows across all departments.
Process incoming and outgoing mail and maintain appropriate documentation logs.
Provide administrative assistance for events, committee work, and department initiatives.
Maintain personnel records and assist with position management and applicant tracking in Workday.

Project & Systems Support – 20%

Serve as a resource to all listed offices for system support including Workday, Procurement registration, IContract, and other software.
Coordinate departmental documentation and assist with data collection, survey completion, and reporting.
Provide administrative support to university initiatives such as the Financial Literacy Committee, accreditations, and strategic planning submissions.

Personnel and Student Staff Coordination – 10%

Coordinate scheduling, onboarding, and task support for OPS and Federal Work Study student workers serving the Controller’s Office, Payroll, DSO Accounting, Treasury, Procurement, and the Athletic Business Office.
Provide direct supervision and guidance to the office assistant and student staff on daily responsibilities and special assignments.
Track leave requests and evaluations for office personnel across all supported units.

Other Duties – 5%

Perform administrative tasks and special projects as assigned in support of the Controller’s Office, Payroll, DSO Accounting, Treasury, Procurement, and the Athletic Business Office.
Serve as a Notary Public for the Division of Administration and Finance.
Act as a backup for designated tasks, including management of shared inboxes or other cross-unit functions.

Marginal Functions

Provide backup support for the shared inbox and administrative workflows for the Controller’s Office, Payroll, DSO Accounting, Treasury, Procurement, and the Athletic Business Office.
Assist in maintaining payroll-related records and HR documentation.
Recommend and help implement internal improvements to administrative procedures and file management systems.
Attend relevant training sessions, workshops, and departmental meetings as needed.

Departmental Requirements

Proficiency with Microsoft Office Suite (Excel, Word), CMS, and web content management tools.
Excellent organizational, written, and verbal communication skills.
Ability to handle sensitive information with discretion and professionalism.
Demonstrated ability to prioritize, multitask, and solve problems independently in a dynamic environment.
Familiarity with Workday or similar ERP systems is strongly preferred.
Ability to interpret and apply university policies and procedures
The position requires an organized, detail-oriented individual capable of working independently in a fast-paced environment with shifting priorities. The role interacts regularly with internal departments and external vendors, requiring professionalism and strong interpersonal communication skills.

Supervision Exercised

Provides guidance and scheduling for an OPS Office Assistant and 2–6 Federal Work Study student workers each term.

Supervision Received

Operates with minimal supervision; expected to exercise initiative and sound judgment in managing daily responsibilities. Receives general directions from the Controller or designee.

A Bachelor’s degree from an acceptable accredited institution in a directly related area of specialization; or a high school diploma and four years of experience directly related to the job functions. Directly related college coursework or vocational/technical training may substitute at an equivalent rate for the required experience.
