The Office of Undergraduate Research and Creative Activity (UReCA) and the OU Arts and Humanities Forum seek a joint hire for a full-time administrative specialist to manage day-to-day operations. The specialist will assist with all aspects of operations, grant cycle management, and events programming at both UReCA and the Forum, and will report separately to the Faculty Director of each unit.
This position is in-person (office space provided at UReCA and the Forum) with 20 hrs/week dedicated to assisting at UReCA and 20 hrs/week dedicated to assisting at the Forum.
Clerical duties in coordination with the Provost Office Director of Finance, Shared Business Services (SBSC), and the Bursar’s Office.
Maintain internal budget and expense records, in coordination with the Director of Finance.
Facilitate purchases, expenditures, and travel documentation through SBSC.
Facilitate travel arrangements for guests, including lodging, airfare, and food, and coordinating the payment of honorariums through SBSC.
Performs support-oriented job duties to a Department Head or Manager. Duties are complex and of an advanced nature, to include but not limited to maintaining files, scheduling appointments, managing inventory, typing, preparing reports and correspondence, distributing information, conducting research and computation, managing office procedures, assisting with budget preparation, and coordinating activities. Serves as a resource to other support personnel. May supervise support staff.
Assesses office procedures and makes necessary changes in order to improve office functioning. Assists in personnel selection of the clerical staff. May assume responsibility for training, assigning and checking work of subordinates.
Responsible for typing and proofreading letters, manuscripts, lectures, grant proposals, and medical information. Reviews and responds to routine correspondence for the office personnel and sometimes in the name of the supervisor. Drafts replies to such correspondence with minimal instruction.
Schedule meetings, presentations, seminars, and trainings.
Gather attendee availability, polling attendees, and booking meeting space.
Serve as a record keeper during meetings and events.
Assist in organizing and facilitating in-person and virtual events.
Coordinate catering, room reservations, invitations, honoraria, publicity.
Coordinate the annual UReCA showcase for both faculty wanting to recruit students and students that will present their work
Assist in managing logistics for the yearly grant cycle at both UReCA and the Forum.
Plans, coordinates, and expedites special activities or projects that require specialized training or creative thought.
Manage applications, committee evaluation meetings, promoting the grant cycle, award distribution.
Be the contact person for grantees throughout the duration of their award.
Track and report grantee participation and document grantee outcomes.
Maintains office files that may be of a confidential nature such as patient or personnel information.
