Full Job Description
This Senior Administrative Assistant will be based within a commutable distance our Oracle’s Redwood Shores, CA office and will provide administrative/clerical support to multiple high level (VP and above) executives in a fast paced environment.
Provide administrative support to relieve executives and senior leaders of administrative and clerical details.
Proactively manage complex and dynamic calendars across multiple global time zones, anticipating and resolving scheduling conflicts.
Coordinate on site and off site events including booking venues, catering, and travel arrangements, ensuring all logistics are handled efficiently.
Process and reconcile complex expense reports, ensuring accuracy and timely submission.
Provide coverage and support to other executives and administrative personnel (peers), as needed.
May work on special projects, as needed.
May participate in operational task forces, as needed.
Preferred Qualifications
At least 3-5 years of experience supporting multiple high level executives (VP, GVP, SVP, EVP) and senior leaders (Directors, Senior Directors) in a large, fast-paced, global organization.
Experience managing multiple calendars and coordinating meetings, travel, expense reimbursement, etc.
Experience as a point of contact for new hires, IT, Facilities, etc.
Demonstrated experience in all MS Office suite of products, proficient in video conferencing platforms such as Zoom and familiar with use of the Slack chat tool. Ability to quickly learn new tools and technologies.
Excellent communication and interpersonal skills, with the ability to build strong relationships with executives, colleagues, and external customers and partners.
Demonstrated ability to maintain confidentiality and handle sensitive information with discretion.
