Administrative Assistant

As an Administrative Assistant at Ormat, you will provide administrative support for the assigned location.
This position is responsible for supporting day-to-day office functions while utilizing the most efficient methods ensuring that all duties are completed accurately and delivered with high quality and in a timely manner.
ESSENTIAL FUNCTIONS
Assist administrators in reconciling PO’s to ensure proper receiving and invoicing has occurred;
Assist plant personnel and various departments by reviewing data and completing an analysis on what course of action should be taken regarding a purchase, invoice, or revision;
Run reports and posting in a centralized file for the team to work on, as directed by supervisor or manager;
Audit reports to render detailed processes for invoices and test reports and process’ to streamline;
Create handbooks for our “admin bootcamp” to train new administrative assistants for all locations;
Maintaining department phone list and emergency roster;
Maintain and administer the petty cash fund;
Train administrators in all process and procedures for department continuity;
Participate in research efforts including collection, assembly and tabulation of data;
Providing backup to other administrative positions as needed;
Maintaining records of department files;
Performing routine clerical duties, pertinent to the administrative position.
Review budgets and determine cost overruns and discrepancies;
Troubleshoot errors that administrators receive in Ormat’s operating system.

Comfortable working both independently and as a part of a team;
Effectively interact with all levels of employees;
Develop and maintain business relationships with vendors;
Perform other related duties and projects as assigned by management.
EDUCATION, EXPERIENCE, AND SKILLS REQUIRED
The ability to understand procedures and instructions specific to the areas of assignment as would be acquired in three to four years of high school with at least 1 year of knowledge of administrative and office procedures;
Must maintain current knowledge and understanding of applicable company policies and programs;
Must be able to work occasional overtime as required;
One year of general work experience preferred;
Must be able to communicate with other employees at a read and write level that will enable the admin to perform the work in a safe and efficient manner;
The ability and knowledge to operate a variety of standard office equipment;
Ability to analyze, gather and summarize data for reports and find solutions to various administrative problems;
Must have a high level of interpersonal skills with the ability to handle sensitive and confidential situations;
Must be able to establish priorities and meet deadlines;
Professional appearance and telephone etiquette essential;
Excellent verbal and written communication skills required;
Basic knowledge and experience of Microsoft Outlook, Word and Excel;
Problem assessment and solving skills;
Attention to detail and processing accuracy. Gathering and monitoring information; including close checking and monitoring of all work tasks and processes;
Must be able to operate a vehicle and possess at any time a valid driver’s license with a driving record acceptable to ORMAT’s auto insurance carrier.
