A position has been declared open in the Weber School District at the District Office for an Administractive Assistant in the Curriculum and Instruction Department. This position is for 8.00 hours per day, 250 days (12 months) per year, and is paid according Lane 7 of the Administrative Assistant Salary Schedule. Please note the start date of this position.

Job Description:

The job of Administractive Assistant for Curriculum and Instruction was created for the purpose of providing confidential administrative assistance and support to the Director of Curriculm and Instruction. This job description in no way enumerates all duties to be performed by the incumbent. The selected applicant may be required to follow other job-related duties as requested, subject to all applicable state and federal laws. Certain job functions described herein may be subject to possible modification in accordance with applicable state and federal laws.

Duties and Responsibilities:

Composes complex documents (e.g. executive director memos, correspondence, agendas, minutes, handbooks, reports, etc.) for the purpose of communicating information to school and district personnel, etc.
Develops and maintains a variety of records, calendars, schedules, files and supplies (e.g. draft school calendar, district student fees, Jr. High athletic calendar, etc.) for the purpose of providing documentation in accordance with administrative and state requirements.
Evaluates situations (e.g. involving staff, students, parents, etc.) for the purpose of taking appropriate action and/or directing to appropriate personnel for resolution.
Performs general and program specific record keeping (confidential and non-confidential) and clerical functions (e.g.
Coordinates a variety of programs, appointment calendar, and/or activities. personnel and delivering services in conformance to established guidelines.
Gathers and compiles data
Oversees equipment and supplies (e.g. gas cards, pin numbers, student record cards, etc.) and gathers and enters instructor payroll in support of the district’s four high schools’ drivers’ education programs.
Prepares a variety of written materials (e.g. correspondence, memos, fiscal and statistical reports, etc.) for the purpose of documenting activities, providing written reference and/or conveying information.
Maintains documents, files and records (e.g. purchase orders, P cards, etc.) for the purpose of providing up-to-date reference and audit trail for compliance with district, local, state and federal regulations.
Maintains inventories of supplies and materials for the purpose of ensuring items’ availability.
Supports Executive Director for the purpose of providing assistance with their administrative functions.

Other Functions and Responsibilities:

Assists other personnel for the purpose of supporting them in the completion of their work activities.
Working under limited supervision using standardized practices and/or methods.
Leading, guiding, and/or coordinating others.
Tracking budget expenditures.
Utilization of resources from other work units may be required to perform the job’s functions.

Minimum Qualifications (Skills, Knowledge and Abilities):

SKILLS are required to perform multiple, non-technical tasks with a need to periodically upgrade skills in order to meet changing job conditions. Specific skills required to satisfactorily perform the functions of the job include: planning and managing projects, using pertinent software applications; preparing and maintaining accurate records, and operating standard office equipment.
KNOWLEDGE is required to perform basic math, including calculations using fractions, percents, and/or ratios; read technical information, compose a variety of documents, and/or facilitate group discussions; and solve practical problems. Specific knowledge required to satisfactorily perform the functions of the job includes: school district operations and philosophy, concepts of grammar and punctuation, bookkeeping principles; business telephone etiquette; common office machines and office methods and practices.
ABILITY is required to schedule a significant number of activities, meetings, and/or events; routinely gather, collate, and/or classify data; and use basic, job-related equipment. Flexibility is required to independently work with others in a wide variety of circumstances; analyze data utilizing a variety of complex processes; and operate equipment using defined methods. Ability is also required to work with a significant diversity of individuals and/or groups; work with data of widely varied types and/or purposes; and utilize specific, job-related equipment. In working with others, problem solving is required to identify issues and create action plans. Problem solving with data requires independent interpretation of guidelines; and problem solving with equipment is limited. Specific abilities required to satisfactorily perform the functions of the job include: adapting to changing work priorities; displaying tact and courtesy; maintaining confidentiality; meeting deadlines and schedules; setting priorities; being attentive to detail; and working with detailed information/data.

Working Environment:

The usual and customary methods of performing the job’s functions require the following physical demands
Occasional lifting, carrying, pushing, and/or pulling
Significant fine finger dexterity.
Generally the job requires 70% sitting, 15% walking, and 15% standing.
This job is performed in a generally clean and healthy environment.

Experience/Education:

Previous related experience with increasing levels of responsibility is desired.
High school diploma or equivalent is required.
