Job Summary:

Vehere is looking for a dynamic, highly motivated admin professional to support day-to-day operations at the facility. Developing, reviewing, and improving administrative systems, policies, and procedures. Responsible for providing administrative support in a well-organized and timely manner and supervising daily operations of the company.

Key Roles and Responsibilities:

  • Handle employee requests and queries and act as a liaison between employees and the management
  • Make domestic and international travel arrangements for all employees as required including tickets, accommodation, conveyance, visas, travel insurance and other travel documents
  • Make local conveyance arrangements for executives and guests
  • Maintain relationships with vendors and keep price data in order to get best pricing on supplies and services
  • Ensure timely disbursements of payments to vendors
  • Manage dispatch and delivery of goods and material to customer and other locations
  • Ensure smooth and efficient day-to-day operations with respect to facility management, security, housekeeping, cleanliness, repairs & maintenance etc.
  • Coordinate with vendors for office repairs and maintenance and supervise their staff
  • Responsible for supervising and managing the housekeeping staff
  • Purchase supplies, equipment, materials and services with attention to budgetary limits and required approvals
  • Manage inventory of office supplies like stationary, food & beverages, pantry supplies, housekeeping equipment etc.
  • Assist in new employee on-boarding by issuing ID cards, visiting cards, bank account opening etc.
  • Make arrangements for office events and activities
  • Prepare and modify documents including correspondence, reports, letters and emails
  • Maintain files and records
  • Responsible for compliance to statutory requirements with respect to workplace safety, health and environment standards and norms
  • Provide executive assistance to top management as required
  • Adhere to high-quality work standards
  • Responsible for maintaining the Confidentiality, Integrity and Availability of Vehere’s information assets, including business-critical information

Skills and Experience:

  • 3-5 Years of experience as an administrative executive, office assistant, executive assistant or any other administrative or secretarial position
  • Knowledge of office management procedures and systems
  • Strong attention to detail and excellent understanding of how to manage facility
  • Ability to handle office equipment and gadgets
  • Excellent computer skills and proficiency in MS Office
  • Excellent communication skills and fluency in English
  • Excellent interpersonal skills
  • Professional appearance and demeanor
