DOO you have what it takes?

We are looking for a proactive and organized Senior Admin Executive to oversee daily administrative operations and ensure smooth office management. The ideal candidate should have strong coordination, communication, and multitasking skills with the ability to manage office facilities, vendor relationships, documentation, and employee support activities efficiently.

What you’ll be working on:

  • Manage day-to-day office administration and ensure smooth office operations.
  • Coordinate with vendors, suppliers, and service providers for office maintenance and procurement.
  • Handle office supplies inventory and purchasing activities.
  • Manage travel arrangements, hotel bookings, transportation, and meeting schedules.
  • Support onboarding activities for new employees including workspace and asset arrangements.
  • Maintain office records, documents, contracts, and filing systems.
  • Coordinate facility management activities including housekeeping, security, maintenance, and utilities.
  • Organize company events, employee engagement activities, and internal meetings.
  • Monitor administrative budgets and prepare expense reports.
  • Ensure compliance with company policies and administrative procedures.
  • Liaise with internal departments to support operational requirements.
  • Handle incoming calls, correspondence, and front-office coordination when required.
  • Coordinate internal communication, meeting schedules, approvals, and documentation using Lark
  • Support management with ad-hoc administrative tasks and reporting.

What we’re looking for:

  • Bachelor’s degree in Business Administration or related field.
  • 3–6 years of experience in administration, office management, or executive support roles.
  • Strong organizational and time-management skills.
  • Good communication and interpersonal abilities.
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook).
  • Ability to multitask and work independently.
  • Experience in vendor management and facility coordination is preferred.
  • Hands-on experience with Lark and other collaboration tools is preferred.
  • Professional attitude with problem-solving capabilities.

  • Strong attention to detail.
  • Budget tracking and reporting skills.
  • Event coordination experience.
  • Ability to maintain confidentiality and professionalism.
  • Familiarity with ERP or administrative systems is an advantage.
