Senior Executive Coordinator – Practice Management & Talent Management Jobs in Carmel, Indiana, USA at Oxford Financial Group, Ltd.
POSITION SUMMARY:
This role provides high-level administrative support to the Chief Development Officer (CDO) and Chief Talent Officer (CTO) ensuring the seamless execution of meetings, projects, and day-to-day operations.
DUTIES & RESPONSIBILITIES:
Administrative Support
Prepare meeting agendas, compile packets, and document minutes.
Support committee responsibilities and firm-wide initiatives including managing documentation (e.g., agendas, attachments, minutes), scheduling and coordinating special assignments
Maintain tracking systems for agenda items and follow-up tasks.
Schedules and coordinates meetings, including interviews, 1:1 meetings and team sessions.
Prepares, formats and distributes internal and external communications.
Organize and maintain electronic and paper filing systems, including tickler files.
Prepare, reconcile, and submit expense reports.
Provide general office support and perform administrative tasks as needed.
Completes other tasks as assigned
Plans travel arrangements
Arrange frequent travel, including air and hotel bookings.
Coordinate ground transportation as necessary.
Manage travel-related memberships, including frequent flyer accounts and loyalty programs
Additional Duties
Enter time accurately and on time in the Replicon system
Demonstrate adaptability by proactively responding to evolving tasks and priorities.
Consistently exhibit professionalism and courteous conduct in all interactions.
Qualifications:
Minimum of five years’ experience providing administrative support to senior-level executives.
Bachelor’s degree preferred.
Exceptional time and task management capabilities with meticulous attention to detail.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) required.
Ability to quickly learn and navigate enterprise systems such as Salesforce, Laserfiche, and Smart Sheets.
Highly proactive, resourceful, and capable of anticipating needs and planning accordingly.
Strong organizational and project coordination skills; able to manage multiple projects and shifting priorities.
Maintains a high degree of professionalism and discretion in handling sensitive information.
Able to work both independently and collaboratively within a team environment.
Excellent written and verbal communication skills, with strong interpersonal abilities.
Demonstrated multitasking capabilities and adaptability in a dynamic workplace.
Working Conditions:
· Primarily desk-based, requiring extended periods of computer use.
· This is a 100% onsite position.
