Job DescriptionA new opportunity has arisen for a skilled Senior Executive, Secretarial & Administration like you, to oversee and bring expertise to our team.

Rolls-Royce Power Systems is headquartered in Friedrichshafen in southern Germany and employs around 9,000 people. The product portfolio includes mtu-brand high-speed engines and propulsion systems for ships, power generation, heavy land, rail and defence vehicles and for the oil and gas industry as well as diesel and gas systems and battery containers for mission critical, standby and continuous power, combined generation of heat and power, and microgrids.

Key Accountabilities

Manage company level documentation and ensure compliance with statutory and regulatory requirements, including filing of statutory returns, maintaining statutory registers, and updating corporate records.

Provide secretarial/administrative support and travel arrangements for the Country Management Team of Rolls-Royce Solutions Asia.

Assist in regular Management Team meetings in coordinating schedules, preparing agendas and maintaining minutes of meetings.

Organize and project manage delivery of events such as off-site conferences of senior leaders, annual dinner, visits, customer and team building events.

Assist in the management of office operations, including ordering supplies, managing vendors for admin services, handling all admin related expenses. Ensure spend is within budget and take necessary actions if deviation to budget occurs or is anticipated.

Co-ordinate regular activities for the Country Management Team e.g. regular reports to board/committees, manage the reporting cycle, and proactively prepare documents as necessary. Draft and circulate relevant internal communications.

Any other assignment from time-to-time.

Qualifications And Skills

At least 3 years relevant working experiences

Strong communication skills, both written and verbal, with the ability to interact professionally with stakeholders at all levels

Excellent organizational and time management abilities, with a keen attention to detail

Ability to adapt to changing priorities and work effectively in a fast-paced environment

Problem-solving skills and a proactive approach to addressing challenges

Professional demeanour and the ability to maintain confidentiality when dealing with sensitive information
