Title: Front Office Administrator

Starting Pay: $33 per hour
Position Summary. We are seeking a warm, organized, and service-oriented Front Office Administrator to be the welcoming face of Jubilee Association of Maryland at its Montgomery Avenue, Kensington, Maryland, office from 8:30 a.m. to 5:00 p.m. Monday through Friday. As the first point of contact for clients, staff, families, Academy learners, and community members, the Front Office Administrator plays a vital role in ensuring a positive experience while supporting the daily operations of our team. The Front Office Administrator connects visitors and callers with Jubilee’s operations that includes (1) services for adults with disabilities throughout Montgomery County, (2) an on-site Academy for direct support professionals, and (3) two administrative office locations in Kensington. Strong customer service and communication skills, empathy, good judgment, cultural competence, and attention to detail are key to success. Regular responsibilities include greeting and assisting visitors, managing calls and inquiries, coordinating schedules, and offering general administrative support to staff and programs across the organization. Jubilee is growing, and the Front Office Administrator is key to maintaining a consistent and positive experience for people engaging with Jubilee.
Responsibilities.
Greet and assist visitors in a courteous and professional manner.
Answer and route incoming calls to the appropriate departments during business hours. Ensure a positive and effective call experience during non-business hours through Jubilee’s automated and contracted answer services and voicemail systems.
Manage incoming and outgoing mail, ensuring all mail is properly routed. This includes managing and recording all checks and cash received by mail in coordination with Jubilee’s Finance Department and Communications and Development Department.
Manage and route inquiry emails received from the Jubilee website.
Maintain a clean, organized, and welcoming front office.
Proactively identify opportunities to improve the experience of staff and visitors when visiting or calling Jubilee’s administrative offices.
Develop and implement enhanced safety protocols.
Assist with maintaining up-to-date contact and other information for Jubilee clients, families, and staff in Jubilee’s data systems.
Communicate office closures with staff.
Assist with administrative tasks such as data entry, filing, and document preparation.
Maintain confidentiality and exercise discretion regarding personnel and client information.
Develop systems to ensure high-quality reception desk coverage during all office hours, including back-up front desk receptionists when the full-time Front Office Administrator is on leave or extended breaks.
Develop Standard Operating Procedures for the front desk and train back-up receptionists.
Be a team player across the organization.
Other duties as assigned.
Qualifications.
Associate or bachelor’s degree preferred but not required.
Minimum of 5 years of relevant professional experience.
Advanced written and verbal communication and interpersonal skills.
Advanced reasoning abilities and good judgment.
Excellent organizational skills and attention to detail.
Very strong technology skills to effectively use phone systems, scanners, Outlook, Word, PowerPoint, Excel, Acrobat, Monday.com, databases, and audio-visual equipment.
Desire to work with and learn from people who have intellectual disabilities.
Bilingual skills are a plus.
In-Person Work. This position requires working from Jubilee’s Kensington office daily during business hours.
Compensation. This position has a fixed starting pay of $33 per hour. All staff have opportunities for pay increases and promotions. The median income for full-time Jubilee employees is $66,000 per year.
Benefits. Benefits include four weeks of vacation, two weeks of sick leave, health/dental/life/disability insurance for the employee and eligible dependents, 3% retirement match after one year, 7 paid holidays, $1000 student loan assistance or tuition reimbursement, paid training opportunities, Flexible Spending Account (FSA) for medical and dependent care expenses, periodic reimbursement of vacation expenses, and more. Depending on personal situations, additional paid leave may apply, such as parental leave, bereavement leave, and jury service. Eligibility for some benefits starts at 20 or 30 hours of work per week.
All employees must be fully vaccinated for covid before starting work.
Candidates should live within commuting distance of our Kensington, MD office. This position is fully in-person at Jubilee’s Montgomery Avenue office in Kensington and does not offer remote work options.
