CLASS TITLE: Office Assistant III, Emergency Medical Services

DEFINITION:

This is structured administrative support work of average difficulty and complexity. Work requires the operation of personal computers, communications systems, and other office equipment. Office Assistant III’s are responsible for managing, organizing, scheduling and maintaining information for their assigned department. Employees work under general supervision and must use some discretion and independent judgment with respect to the details of most assignments. They are subject to periodic checks. There is no supervisory responsibility in this class but may assist in training others.

EXAMPLES OF WORK: (Examples are illustrative only)

· Responsible for billing management to include but not limited to set up, implementation, program monitoring, and management. Will need to foster a good working relationship with the billing companies.

· Assist with the administrative processes associated with quality assurance/quality improvement, EMS billing, provider licensure, etc.

· Manage and assist with the Freedom of Information Act requests from the local, state, and federal agencies as well as the public.

· Answer EMS billing questions from the public.

· Assist volunteer fire companies with NFRIS/NERIS reports.

· Assist with monitoring Imagetrend Elite and other applicable reporting systems with MIEMSS.

· Assist with maintaining the Department’s budget, including expenditure and revenue tracking.

· Assist with maintaining a close working relationship with the County Human Resources and Finance departments.

· Assist with Operative IQ program management.

· Assist with departmental logistics needs.

· Assist with departmental scheduling including facility service calls, and annual physicals.

Maintain an adequate level of office supplies and equipment.
Perform other duties as assigned.

REQUIRED KNOWLEDGE, SKILLS AND ABILITIES:

Knowledge of English, spelling, grammar, and arithmetic.
Knowledge of the operation of office equipment, personal computers and communications systems.
Knowledge of rules, regulations, policies and procedures of Somerset County.
Knowledge of standard formats for letters, memos, reports record keeping and reporting methods.

Ability to skillfully prepare statistical and written reports as well as presentation for management. General PC proficiency and strong skills in MS Word, Excel and PowerPoint.
Ability to prioritize work and develop a process that monitors progress and performance for the department.
Must be very organized and exude a positive image that reflects well on the department.

MINIMUM EXPERIENCE, TRAINING AND EDUCATION:

Associates Degree with two years’ experience in office administration or comparable work experience.

REQUIRED LICENSES AND CERTIFICATES:

Class “C” Driver’s License.

ADDITIONAL DESIRABLE QUALIFICATIONS:

Bachelor’s degree.
Certificate of Proficiency in computer applications.

Job Type: Full-time

Pay: $47,082.00 – $77,149.00 per year
