Job Title/Position: Non-profit Executive Assistant

Reports to: Chief Executive Officer
Schedule: M-F, Evenings and weekends rarely
Pay Rate: $55,000 – $60,000 annually (commensurate with experience)

JOB SUMMARY

The Executive Assistant position will average 40 hours per week under the supervision of Discovery World’s President/CEO. The Executive Assistant is expected to provide support to the museum’s executive & administrative staff including Development staff and Board of Directors. This is a dynamic position which requires strong attention to detail, a great sense of initiative for accomplishing work that needs to be done, and the ability to manage multiple deadlines in many different areas.

ESSENTIAL DUTIES AND RESPONSIBILITIES

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Other minor duties may be assigned.

Completes a broad variety of administrative tasks for the President/CEO including:
Managing an active calendar of appointments
Keeping the President/CEO well-informed of upcoming commitments and responsibilities.
Proactively addressing conflicts in scheduling.
Compiling documents for appointments and meetings.
Preparing agendas, briefs, reports, and presentations.
Drafting and editing correspondence for the President/CEO.
Arranging travel plans.
Provides a bridge for smooth communication between the President/CEO, internal staff, and external partners.
Serves as a primary resource for members of Discovery World’s Board of Directors.
Manages all scheduling and meeting logistics for board and committee meetings.
Works with the board and committee chairs to prepare meeting materials.
Takes the lead in preparing agendas, presentations and additional materials for quarterly board and committee meetings.
Acts as archivist for the organization, including but not limited to drafting minutes for all committee and board meetings.
Development support: supports communications, marketing and fundraising activities including the annual gala event.
Provides additional administrative support for members of Senior Management Team (COO, and CFO, as needed).

The normal setting for this position is: office setting/museum exhibit setting. This position will be in the office full-time.

Qualifications

JOB QUALIFICATIONS

The requirements listed below are representative of the qualifications necessary to perform the job.

Education and Experience

Five (5) Years’ experience OR a bachelor’s degree and five (3) years’ experience working in assistance to senior staff. Non-Profit Board Liaison experience strongly preferred.
Experience and proficiency in writing meeting minutes and drafting executive correspondence.
Experience and proficiency in Microsoft Office programs.
Proficiency with Office 365.
Basic desktop publishing/graphic designs skills a plus including Canva.
Experience with data entry and ability to learn internal database system.
Experience working in a nonprofit organization and/or museum setting a plus.
