Purpose Statement
The job of secretary/data entry specialist is done for the purpose of providing administrative, technology, and program support to the assigned department. This may include, but is not limited to, supporting department staff and programs, supporting virtual professional development, maintaining department records, compiling and distributing a wide variety of materials and reports, and monitoring a variety of department activities.
We are looking for someone with a solid skillset, but possibly more importantly, we are looking for someone with a service heart to be a member of our team. Functions
Supports assigned administrative and department personnel (e.g. coordinating schedules, meetings, activities, etc.) for the purpose of providing assistance with administrative functions including meeting agency policy, grant, and legal requirements and ECEAP performance standards.
Supports online learning platforms (Zoom, Canvas, Teams, etc.) in partnership with assigned department personnel for the purpose of providing a seamless learning experience for participants.
Coordinates assigned departmental programs and events for the purpose of ensuring goals are achieved, target dates are met, and financial, legal, and/or administrative requirements are satisfied.
Prepares a variety of written materials (e.g. reports, memos, letters, marketing materials, ECEAP class lists, etc.) for the purpose of documenting activities, providing written reference, and conveying information.
Informs staff and other personnel regarding procedures and program requirements (e.g. ECEAP enrollment procedures and program requirements) for the purpose of providing necessary information for making decisions, taking appropriate action, and complying with established standards.
Maintains confidential information and files for the purpose of providing an up-to-date reference and audit trail for compliance.
Responds to a variety of inquiries from internal and external parties (e.g. staff, school district personnel, parents, public agencies, etc.) for the purpose of providing information, facilitating communication among parties, and providing direction.
Monitors assigned departmental activities and program components (e.g. purchasing, meetings and events, etc.) for the purpose of ensuring that goals are achieved, target dates are met, and financial, legal, and administrative requirements are satisfied.
Maintains, tracks, and processes a variety of files, databases, and records (manual/computer; confidential/non-confidential) (e.g. ECEAP staff qualification records, vendor payments, purchase orders, food requisitions, invoicing, ECEAP child and adult health and safety documentation, calendars, ECEAP child attendance records, child enrollment processes, child/family data, etc.) for the purpose of providing documentation in accordance with administrative and legal requirements.
Maintains the department’s website pages and updates with new information for the purpose of providing information and facilitating communication.
Performs related duties as assigned. Related duties may not specifically be listed but are within the general occupational series and responsibility level typically associated with the employee’s classification of work.
Skills, Knowledge, and Abilities
SKILLS are required to perform multiple, non-technical tasks with a potential need to upgrade skills in order to meet changing job conditions. Specific skills required to satisfactorily perform the functions of the job include:
demonstrating excellent verbal and written communication skills,
operating standard office equipment including pertinent software applications,
planning and managing projects,
composing letters, memoranda, and meeting minutes from general instructions or rough notes, and
preparing and maintaining accurate records.
KNOWLEDGE is required to perform basic math, including calculations using fractions, percentages, and ratios, read a variety of information, write documents following prescribed formats, present information to others, and solve practical problems. Specific knowledge required to satisfactorily perform the functions of the job includes:
business telephone etiquette,
office application software (Microsoft office and Google Suite), and
concepts of English grammar, spelling, and punctuation.
ABILITY is required to schedule activities, meetings, and events, gather and collate data, and use basic, job-related equipment. Flexibility is required to work with others in a wide variety of circumstances, work with data utilizing defined but different processes, and operate equipment using defined methods. Ability is also required to work with a wide diversity of individuals, work with a variety of data, and utilize specific, job-related equipment. In working with others, problem solving is required to identify issues and create action plans. Problem solving with data requires independent interpretation of guidelines. Specific abilities required to satisfactorily perform the functions of the job include:

General Requirements
Responsibility
Responsibilities include working under limited supervision following standardized practices and methods, leading, guiding, and coordinating others, and tracking budget expenditures. Utilization of resources from other work units may be required to perform the job’s functions. There is a continual opportunity to have some impact on the agency’s services.
Working Environment
The usual and customary methods of performing the job’s functions require the following physical demands: some lifting, carrying, pushing, and pulling, and significant fine finger dexterity. Generally the job requires 70% sitting, 15% walking, and 15% standing. This job is performed in a generally clean and healthy environment.
