Job Summary

The Administrative Assistant provides essential support to the Senior Leadership Team under the supervision of the Executive Administrative Assistant. This position requires a proactive, self-motivated individual with excellent clerical skills who can also think critically, solve problems, and manage responsibilities with minimal supervision while maintaining a high level of professionalism and discretion.

In addition to administrative and leadership support, this position is directly responsible for managing all aspects of provider credentialing and enrollment, ensuring compliance with hospital policies, accreditation standards, and regulatory requirements.

Essential Responsibilities

Leadership and Administrative Support

Provide administrative support to Senior Leadership, and Executive Administrative Assistant including calendar management and scheduling.
Prepare, edit, and distribute correspondence, reports, meeting agendas, accurate minutes, and presentation materials.

Medical Staff Support (Credentialing and Enrollment)

Conduct provider credentialing and recredentialing, ensuring accuracy and completeness of applications, verifications, and documentation.
Coordinate the enrollment and re-enrollment of providers with payers and government programs.
Maintain and update provider files in compliance with Medical Staff Bylaws, Rules and Regulations, and applicable accreditation and regulatory requirements.
Track expirables and ensure timely follow-up with providers to maintain current credentials and enrollments.

Qualifications

Education

Associate degree preferred; bachelor’s degree in business administration, healthcare management, or related field preferred.
Equivalent experience may be considered in place of formal education.

Experience

Minimum of three (3) years of administrative experience, with at least one (1) year of direct experience in provider credentialing and enrollment preferred.

Skills and Abilities

Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
Strong organizational skills with the ability to manage multiple priorities and deadlines.
High attention to detail, accuracy, and data integrity.
Excellent written and verbal communication skills.
Ability to exercise independent judgment and problem-solving with minimal supervision.
Professionalism, integrity, and discretion in handling confidential information.
Knowledge of credentialing standards preferred.

Physical Requirements

Lifting: Occasionally lift and carry items up to 10 lbs.
Mobility: Frequent sitting, with occasional standing and walking.
Posture: Extended periods of computer use.
Dexterity: Adequate motor skills to operate standard office equipment and manage documentation.
