Description of Work
STARTING SALARY FOR A NEW HIRE TO THIS POSITION IS LIMITED TO THE RECRUITMENT RANGE OF $46,817 to $73,152. Salary offers for the selected candidate are based on the candidate’s education and experience related to the position, as well as our agency budget and equity.
The North Carolina Department of Justice, led by the Attorney General of North Carolina, represents the State of North Carolina in court and provides legal advice and representation to most state government departments, agencies, officers, and commissions. The Department also represents the State in criminal appeals from state trial courts and brings legal actions on behalf of the state and its citizens when the public interest is at stake.
The Executive Assistant is the administrative position assigned to the Executive Leadership team. The Executive Assistant reports directly to the Chief of Staff and enjoys a position of such trust, confidence and authority as to require that it be exempt from the State Personnel Act. This position maintains contact and works closely with top management including Chief of Staff, Chief Deputy Attorney General and General Counsel.
This position will assist internal and external constituents with inquiries; identify issues requiring the direct attention of the Executive Leadership team and re-direct those that can be addressed by others on staff. When appropriate, follow up with all responsible parties to ensure resolution of inquiries.
Coordinate and plan meetings, prepare material for meetings in a timely manner; conduct background research and compile data, statistics and other necessary information. Take initiative to schedule regular meetings and events to allow for adequate preparation time. Monitor and resolve scheduling conflicts.
Generate and coordinate timelines and schedules necessary to provide adequate and timely planning, preparation and accomplishment of all scheduled tasks, events and reports.
Draft letters and other communication in a manner consistent with the tone and messaging of overall routine correspondence; independently prepare a wide range of documents. Edit and review documents before release from the office. Ensure Agency standards, guidelines and branding are used in all documents originating from this office.
Manage travel arrangements, act as liaison to coordinate and confirm itineraries, and communicate the information to all necessary parties. Prepare and submit travel reimbursements.
Assist with office management, suggest improvements to existing processes and procedures and take charge of implementing improvements as necessary.
Provide support to the Executive Leadership team or special projects, meetings, and events as assigned. Meetings and events may be conducted in-person or virtually.

If selected for this position, a new salary will be recalculated taking into consideration the quantity of relevant education and experience, funding availability, and internal equity. Based upon these factors, a pay increase MAY or MAY NOT result.

Except as to the policies and rules established by the State Human Resources Commission pursuant to G.S. 126?4 (1) – (6) and except as to the provisions of Articles 6 and 7, the provisions of Chapter 126 the North Carolina Human Resources Act do not apply to this position. Generally, this means that policies and rules that relate to disciplinary action, separation, and appeals do not apply to positions designated as Confidential Assistant.

Minimum Education and Experience Requirements
Some state job postings say you can qualify by an “equivalent combination of education and experience.” If that language appears below, then you may qualify through EITHER years of education OR years of directly related experience, OR a combination of both. Bachelor’s degree, preferably in business administration or a related discipline from an appropriately accredited institution and two years of progressively responsible administrative/office management experience;
or Associate’s degree in secretarial science, business administration, or a related discipline from an appropriately accredited institution and four years of progressively responsible administrative/office management experience;
or High school or General Educational Development (GED) diploma and six years of progressively responsible administrative/office management experience;
or an equivalent combination of education and experience.
Management preferences: The most successful candidates must process a Bachelor’s degree, at least 5 to 8 years of administrative support to high level executive, excellent verbal and written communications skills, the ability to multi-task and react to rapid changes, and most importantly excellent customer service aptitudes. Prior experience in a similar role supporting executive level staff and acting in a position of trust.
Management has requested that a professional writing sample (appropriately redacted) be submitted at the time of application.
