To provide administrative support to the Service Team by logging service calls, managing service documentation, assisting with quotations and purchase orders and ensuring accurate communication between technicians, management, and clients. The ensure that service processes run efficiently and that records are maintained accurately in the system.
Responsibilities:
- Log and manage service calls on the system.
- Assist with preparing and sending service quotations to clients.
- Follow up on outstanding quotations and purchase orders.
- Updates on open and close work orders ensuring all documentation is completed correctly
- Capture service information accurately on systems (e.g., CRM or service platform).
- Communicate with clients regarding service progress and updates
- Coordinate with technicians regarding job allocations
- Ensure compliance with company administrative processes.
- Handle general service-related queries professionally and efficiently.
- Compile and submit service reports within required deadlines.
- Ensure all administrative and reporting deadlines are met consistently.
- Spares and Stock Management.
- Assist with walk in clients.
- Stock Control.
Minimum Requirements:
- Experience working with CRM systems or service management systems (e.g., Salesforce or similar).
- Strong computer skills (Microsoft Excel, Outlook, Word).
- Good communication and customer service skills.
- Strong organisational and time management abilities.
- Ability to work under pressure and manage multiple tasks.
