Service Coordinator
Job Description
We are seeking a dedicated Service Coordinator to join our team. The ideal candidate will be responsible for:
Receiving and processing service requests from clients, sales, and management via phone, email, or online portal.
Communicating with vendors to confirm timely delivery of materials, rental equipment, or sub-contractor support, providing updates on service status, and addressing any concerns to customers and management.
Providing administrative support to the service department, including maintaining files, creating purchase orders for all branch purchase jobs and non-job related expenses, and processing invoices.
Scheduling service jobs and projects, and assigning technicians based on their availability and expertise.
Communicating with clients to confirm appointments, provide updates on service status, and address any concerns.
Coordinating with technicians to ensure they have the necessary equipment and materials to complete service tasks.
Monitoring service activities to ensure they are completed on time, meet safety and quality standards, and support a positive customer experience and profitability.
Tracking and documenting service requests, including client information, service details, and resolution outcomes.
Collaborating with other departments, such as sales and operations, to coordinate service activities and support business objectives.
Qualifications
A bachelor’s degree in business administration, customer service, or a related field is preferred, along with proven experience in customer service or service coordination roles.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and experience with ERP and CRM software.
Excellent communication and interpersonal skills to interact effectively with clients and colleagues.
Strong organizational skills and attention to detail, with the ability to manage multiple tasks and priorities.
Ability to work independently and collaboratively in a fast-paced environment.
Flexibility to adapt to changing priorities and handle unexpected challenges.
Knowledge of service management principles and best practices is preferred.
