Job Purpose

The Service Coordinator will schedule appointments, provide information to callers, and relieve officials of clerical work and minor administrative tasks.

Essential Duties and Responsibilities

  • Improving service image & satisfaction
  • Receiving service calls
  • Dispatching service calls to technicians one at a time
  • Service time and utilization administration
  • Service invoicing & customer credits
  • Issuing credit applications to new customers & setting up new customers in BaaN
  • Follow new instructions for Home Depot & Sobeys in-house program (TBA)
  • Administer PMA program and reports
  • Reporting and maintain various monthly reports for Service Supervisor
  • Coordinate service parts pickup for service techs and customers
  • Service inventory control
  • Used equipment management administration
  • Service call follow-ups
  • Service marketing support
  • Arrange customers’ pick-up on scrap batteries and loaners
  • Service reporting: log all service calls on our service request program in a timely manner
  • Stock reordering: work-order forms and battery-order test sheets, etc.
  • Special service customer programs
  • Satisfy customers with all liability certificates and workers compensation clearance
  • Organize and maintain service file system and correspondence records
  • Prepare outgoing service mail and correspondence, including e‑mail and faxes
  • Maintain a safe, orderly, and clean working setting, including maintenance & upgrade of the Ener Sys Canada Service Request Program
  • Follow all company policies and procedures (Warranty, safety, environmental, OSHA, DOT Hazmat, ISO
    9000)
  • Other duties as assigned

Qualifications

  • High school diploma or general education degree, or 3–6 months related experience and/or training, or equivalent combination of education and experience
  • Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals
  • Ability to write routine reports and correspondence
  • Ability to speak effectively before groups of customers or employees of organization
  • Math ability: calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference and volume; apply concepts of basic algebra and geometry
  • Reasoning ability: apply common sense to carry out instructions furnished in written, oral, or diagram form; deal with problems involving several concrete variables in standardized situations
  • Computer skills: proficient in PC-based Windows applications such as Microsoft Office Word, Excel, Outlook, Access, PowerPoint;
    Internet Explorer; other programs as needed; order entry processing and inventory control through the BaaN system
  • Physical demands: regularly sit; use hands to finger, handle, or feel and talk or hear; reach with hands and arms; occasionally walk; lift up to 10 pounds; close vision required
  • Work environment: exposure to fumes or airborne particles and toxic chemicals; moderate noise level; occasional exposure to lead/fiberglass products

General

Job Requirements

  • Must be able to bend, twist, reach, stoop, kneel or crouch frequently
  • Position exposed to harmful materials such as lead/fiberglass; periodic blood tests required to measure lead levels; precautions taken by company or employee to reduce risk of exposure
