Job Summary
Blue Cypress Consulting is seeking a responsible and self-motivated individual for a 15 to 20 hour part-time Operations Coordinator position for a community planning and engineering small business in Decatur. We are looking for someone with outstanding verbal and written communication and interpersonal skills. Must be detail oriented and able to prioritize, multitask, and organize projects. A candidate with enthusiasm, professionalism, flexibility, and creativity will be a good fit for our team. The successful candidate will have demonstrable experience with Microsoft Office particularly with Excel, Word, and PowerPoint. Additional software experience with Unanet or other accounting software is preferred. They should thrive in a fast-paced environment and exemplify Blue Cypress’s core values: Collaborative, Strategic, and Improvement-Oriented.

Responsibilities Include:
· Assist accounting, operations, marketing, and project staff on a daily basis
· Data Entry
· Post cash receipts
· Input accounts payable, credit card receipts, weekly bank records
· Open, sort, and distribute mail; identify priority items
· Monitor and order office inventory
· Keep Decatur office organized
· Schedule meetings
· Scanning and physical and digital filing and organization
· Assist with completing timesheets
· Assist leadership team with submitting expense reports
· Track and research professional organizations and upcoming awards, conferences, and events
· Input information into CRM for marketing group
· Assist marketing with completing proposal forms
· Sponsorship tracking
· Process certificates of insurance
· Report updates
· Prepare slide decks
· Assist with event planning on an as-needed basis
· Travel bookings as requested
· Other operational duties as requested
Minimum Qualifications Include:
· Associate’s degree
· 5 years of related professional administrative experience
· Proficiency in Microsoft Office Suite
· Proficiency in Microsoft Excel is a must
· Strong attention to detail
· Effective and personable verbal and written communication abilities with strong follow-up skills
· Flexibility and ability to prioritize and handle multiple tasks and collaborate with various managers in a fast-paced environment
· Ability to receive and act upon constructive feedback
· Must maintain confidentiality of sensitive information
· Ability to assist with the overall administrative needs of a growing 30-person business with multiple office locations
· Enthusiasm, professionalism, creativity, and strong interpersonal skills
· A strong work ethic and positive commitment to being an active participant in our small business culture is a must
· Must be authorized to work in the United States
Preferred Qualifications Include:
· Experience working in the architecture / engineering industry
· Certified as a notary
Required Software Proficiencies Include:
· Microsoft Office Suite including Excel, Word, PowerPoint, and OneNote
Preferred Software Proficiencies Include:
· Unanet, or other similar ERPs such as Deltek
· Paychex, or other similar PEO websites
Supervisory Responsibilities
This position is not responsible for supervising other employees.
Travel
There is no travel expected for this position.

This is a hybrid position (in office/remote). We offer a telecommute option to work once a week from the office, with a minimum of 6 times per month at the office, and the remainder of the time to work from home. If desired, employees may work up to every day in the office instead of at home. During onboarding, new hires may be required to work more frequently in-person at the office with their supervisor. While in the office, the employee will normally work in a temperature-controlled office environment, with frequent exposure to electronic office equipment. Smoking and vaping shall be prohibited in all enclosed areas within the workplace.
