The Administrative Assistant will play a key role in ensuring the smooth operation of the office by providing administrative support to the accounting team. This position will involve managing office tasks, maintaining files, and assisting with scheduling and communication. The ideal candidate will have a strong attention to detail, excellent organizational skills, and the ability to multitask effectively in a fast-paced environment.
Responsibilities:
Provide administrative support to accounting staff and management.
Manage incoming calls, emails, and general correspondence.
Organize and maintain client files, documents, and records.
Schedule appointments, meetings, and manage calendars.
Assist in the preparation of financial reports and documents.
Handle office supplies and ensure office equipment is maintained.
Prepare and distribute client invoices, ensuring accuracy.
Assist in data entry and maintain accurate databases.
Provide excellent customer service to clients, both in-person and over the phone.
Perform other administrative tasks as needed.
Requirements:
Proven experience as an administrative assistant or in a similar role, preferably in an accounting or financial environment.
Strong organizational skills and attention to detail.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
Excellent written and verbal communication skills.
Ability to multitask and prioritize tasks in a fast-paced environment.
Knowledge of basic accounting principles or previous experience in accounting is a plus.
High school diploma or equivalent required; associate’s or bachelor’s degree preferred.
Strong problem-solving skills and the ability to handle sensitive information with confidentiality.
Job Type: Full-time
Pay: $18.00 – $22.00 per hour
Expected hours: 40 per week
