This role ensures smooth day-to-day operations. The Administrative Assistant plays a vital role in supporting internal clients and external clients at MainStreet Advisors. This role combines administrative, organizational, and hospitality responsibilities to maintain an efficient and professional office environment.
ASSIST THE MARKETING DEPARTMENT
Assist with the annual client conference
Print/bind materials and other event-related tasks
Assist in coordinating events
Organize mailings throughout the year, including preparing labels and packaging
PROVIDE SUPPORT TO THE SALES AND CLIENT SERVICE TEAMS
Assist with attendee registration and sponsorship coordination
Add conferences to the company calendar and update the Conference Google Document
Assist with packaging and tracking marketing materials for conferences, including coordinating FedEx pickups
ASSIST WITH INDUSTRY CONFERENCE ATTENDANCE:
Complete Registration and Sponsorship opportunities
Manage Conference Schedule Attendance
Ensure timely delivery of appropriate material to conferences
Create conference packet for team members to easily find necessary information
Identify prospects/clients attending and coordinating outreach when necessary
Identifying new or upcoming conferences for attendance
OPERATIONS
Maintain and update the office supply list via Google Documents
Distribute incoming mail and organize outgoing correspondence
Schedule and organize conference calls, in-office meetings
Maintain and organize office calendar events
Renew office subscriptions and memberships
Keep the kitchen, workroom, and conference rooms clean, stocked, and organized
Submit and track office-related service requests (e.g., temperature, lighting, plumbing) through Angus Service portal or similar platforms
Coordinate company lunches
SKILLS:
Exceptional communication skills, both written and verbal
Positive and upbeat attitude
Strong attention to detail and organizational abilities
Strong PC knowledge, including Word, Excel, PowerPoint, G Suite and Publisher
Ability to work independently, proactively, and with minimal guidance
Strong time management skills and the ability to multi-task and adjust priorities quickly
