Bachelor’s Degree and at least three (3) years of experience in administrative support or office management. Relevant experience may substitute for required education.

Special Conditions
The department is especially interested in candidates who posses a degree in business administration, office management, or a related field as well as experience working in a higher education or arts administration environment to include university systems such as Banner, Curriculog, or related scheduling platforms.
Work Schedule
Monday – Friday
8:00a.m. – 4:30p.m.

May require work beyond normal schedule including some evenings and weekends especially during peak periods.

Knowledge of standard office procedures and administrative practices
Familiarity with scheduling systems and academic structures
Understanding of basic financial forms and university business processes (e.g., travel, purchasing)
Proficient skills in using Microsoft Office Suite (Word, Excel, Outlook, Teams)
Skilled in data entry, form completion, and document organization
Strong written and verbal communication skills
Ability to interact with students, faculty, families, and external stakeholders in a front-office or customer service role
Ability to take initiative, adapt to changing needs, and support team-based administrative projects
Excellent organizational and time management skills
Ability to manage multiple tasks, set priorities, and meet deadlines

Job Duties

Duties & Responsibilities
Works directly with the Director of the School of Music to create, input, update, and manage academic course schedules and faculty workload reports. Ensures accuracy in systems and coordinates with faculty and college staff to resolve issues.

Duties & Responsibilities
Serves as the primary administrative support for the Director of Summer Programs, assisting with summer camp logistics, registration, communication with families, and on-site operational needs during camp sessions. Serves as the primary administrative support for community ensembles (i.e. Flute Choir).

Supports and assists the School of Music Business Officer in the processing of standard university business forms, including travel requests, purchase requisitions, reimbursements, and contract routing.

Serves as the first point of contact for the School of Music’s main office suite, providing professional and helpful assistance to students, faculty, visitors, and community partners. Answers general inquiries and routes communication appropriately.

Manages day-to-day front office operations, including ordering and maintaining supplies (paper, toner, office materials), ensuring shared office equipment is functioning, and coordinating basic facility requests. Submits work orders as requested/needed. Attends events such as summer camps or other School of Music events as requested.
