In this position…

We are seeking a highly organized and proactive Office Administrator to provide comprehensive administrative and office support. As the first point of contact for many, you will play a crucial role in ensuring the smooth and efficient operation of our team. The ideal candidate will be a detail-oriented multi-tasker with excellent communication and interpersonal skills, capable of handling a wide range of administrative and executive support-related tasks.

What you’ll do…

Maintain the highest level of confidentiality regarding corporate and personal information.
Manage calendars for Directors and manage generic calendars (Departmental, Process and Strategy Meetings, and Executive Launch Reviews).
Coordinate internal / external meeting agenda, schedules and calendars, and resolve conflicts in a timely and efficient manner.
Acknowledges the need for flexibility in scheduling when global participation is involved.
Ensure Director preparedness for meetings and engagements; secures and uploads required materials.
Anticipate the needs of the Directors and team and proactively address issues before they arise.
Assists with events such as staff meetings, all-hands meetings, off-sites, team gatherings, etc., overseeing securing of venues, communication, technology, logistics and related follow-up activities.
Arrange travel for Director and Chiefs (inclusive of TAN / Visa / Passport requirements / Corporate Card Spending Limits / etc., as necessary).
Complete Expense Reports for Directors and Chiefs (Corporate Card & Ford Auto Buy) & understand approvers required.
Assist team members with special projects in areas such as training, organizational structure (maintain org chart), creating power point presentations, etc.
Continuously seeks process improvement to increase productivity and efficiency.
Special event planning as they arise (other functions requesting access to NMPDC). Facility availability, readiness, set up, building access, etc., as required. Manage event logistics, including venue selection, catering, and guest registration.
Approval letters for Vehicle Access, Post OKTB drives, etc. for Voice of the Customer Fleet.
Assist with onboarding new employees, including preparing welcome packets and coordinating workstation setup.
Draft and send emails on behalf of management.
Contribute to a positive and collaborative work environment.
Lead ordering of arrangements or charitable contributions for bereavement or serious illnesses.
Perform other administrative and clerical duties as assigned and support special projects as needed.

You’ll have…

High school diploma or equivalent required; associate or bachelor’s degree preferred.
2+ years of experience in an administrative or office management role.
Excellent organizational and time management skills.
Strong attention to detail and accuracy.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Excellent written and verbal communication skills.
Ability to multitask and prioritize tasks effectively.
Ability to work independently and as part of a team.
Strong problem-solving skills and ability to work cross functionally to resolve issues.
Ability to maintain confidentiality.

This position is a salary grade 5.
