The Sr. Administrative Assistant supports an individual executive or small number of executives in their day-to-day office activities. This job works across all lines of business to ensure business needs are met for assigned executives, including assistance with team communication, travel plans, expense reports and all other requests by executive members.
Key Responsibilities and Duties
Managing complex schedules for the President.
Ensuring timely updates and prioritizing appointments.
Schedule meetings for the President and Executive Committee, including both internal and external participants across multiple time zones.
Daily check-ins with the President and prep for his day and ensure timely updates.
Send relevant emails needed for the day before 8am. Ensure physical files are prepared ahead of meetings. Obtain any necessary paperwork for the following day.
Prepare Quarterly Board Book by gathering data and materials and assembling in physical binders. Ordering and coordinating catering for meetings.
Booking Travel both domestic and international, with itineraries as needed including flights and hotels.
Assisting with monthly American Express statements, ensuring all receipts and invoices are accounted for on the company card.
Responsible for reviewing and facilitating legal expenses.
Planning, coordinating, and executing all company events including holiday party, summer outing, company dinners.
Must be proficient in Microsoft Office (Excel, Word, Outlook, PowerPoint).
Educational Requirements
Vocational and/or Technical Education Preferred.
Work Experience
3+ Years Required; 5+ Years Preferred.
Physical Requirements
Sedentary Work.
Qualifications:
Required:
3 years administrative experience supporting executives.
Preferred:
5 years administrative experience supporting executives.
Proficient in Microsoft, especially Excel, Outlook, Word, and PowerPoint.
Travel experience with Concur.
Strong scheduling experience with multiple calendars in multiple time zones.
