Senior Administrative Assistant (Direct Hire) — Houston, TX 77057(Hybrid)

Position summary

We are seeking a highly proactive Senior Administrative Assistant to provide dedicated support to a senior executive who leads a fast-paced business function with significant scheduling complexity, stakeholder engagement, and frequent travel. This role is ideal for an experienced administrative professional who can operate independently, protect executive time, anticipate needs, and help execute high-impact team initiatives—including culture and engagement activities.

Compensation and schedule

  • Salary range: $60,000–$85,000 (base)
  • Bonus target: 15%
  • Schedule: Monday–Friday, 8:00am–5:00pm (hybrid)
  • Flexibility needed: the supported executive works in a different time zone and may require occasional after-hours support

Key Responsibilities

Executive support and calendar management

  • Manage a dynamic, high-volume executive calendar with strong prioritization and sound judgment
  • Act as a gatekeeper for meeting requests; schedule only high-priority discussions and redirect as needed
  • Proactively identify conflicts, gaps, and opportunities to optimize time
  • Make quick, informed decisions when the executive is unavailable (within agreed-upon parameters)

Travel, expenses, and administrative coordination

  • Coordinate complex travel arrangements (air, hotel, ground transportation) with frequent last-minute changes
  • Prepare and submit expense reports; support invoice approvals and related administrative workflows
  • Monitor and manage an executive inbox and elevate/triage high-priority items
  • Maintain organized digital files and handle confidential information with discretion

Meetings, events, and team support

  • Coordinate internal/external meetings and logistics (rooms/venues, agendas, attendee communications, catering as needed)
  • Support quarterly team meetings/offsites (including venue sourcing, planning, and onsite execution)
  • Contribute ideas and execution support for team culture and engagement initiatives
  • Provide light administrative support to other senior leaders as needed
  • Serve as backup front desk/onsite office coverage when required

Required Qualifications

  • 5+ years supporting a senior leader/executive in a fast-paced environment
  • Advanced calendaring skills and strong prioritization instincts (able to push back appropriately)
  • Strong experience with travel coordination and expense reporting
  • High discretion, sound judgment, and ability to manage sensitive/confidential information
  • Excellent organization, attention to detail, and follow-through
  • Strong interpersonal and communication skills; collaborative, service-minded approach
  • Proficiency with Microsoft Office (Word, Excel, PowerPoint) and related digital tools

Preferred Qualifications

  • Experience supporting an executive at a publicly traded company
  • Exposure to energy, industrial, or sustainability-adjacent environments (helpful, not required)
  • Associate or bachelor’s degree (high school diploma/GED required)
