About the Position:
The position of Administrative Assistant reports to the Director of Finance and Administration and is a key player on the Finance team and provides support to various IMA departments and units.
Position Responsibilities:
Provide assistance to Finance Department including processing accounts payable, preparing expense reimbursements, preparing spreadsheets and maintaining files for various report preparation.
Monitors and maintains banking information daily including account balances, wires and ACH transfers, positive pay administration, and company credit card transactions. Report any discrepancies or online access issues to the Director of Finance.
Processing daily accounting receipts, cross-trained on remote deposit capture and invoicing clients via CRM system, reports, calendars and presentation materials.
Coordinate various office and reception tasks such as updating mailing lists, maintaining files, scheduling and coordinating meetings, supporting conference preparations, maintaining office supplies, and various projects as requested.
Assist with executing and report of member promotions.
Other Job Information:
Office environment using computers, copiers, postage machine, multi-line phone systems.
Primarily a sedentary work environment requires moderate lifting and standing.
Travel is limited, occasionally scheduled for evening events.
Job Requirements:
Associates degree or equivalent hours.
Requires knowledge, skill and experience in office setting 1-3 years preferred.
Advanced Proficiency with Microsoft Office, database management, Outlook and Dropbox.
Attention to detail and able to work with confidential material a must.
Bookkeeping or finance experience preferred.
Previous experience working with legislative environment preferred.
Experience working with grant applications or processes a plus.
Experience with CRM and accounting software.
