Overview
We are seeking a motivated and organized Receptionist/Administrative Assistant to join our team. This role is essential in providing exceptional front desk support and administrative assistance to ensure the smooth operation of our office. The ideal candidate will possess strong customer service skills, be detail-oriented, and have the ability to multitask.
Responsibilities
The following are duties and responsibilities assigned to the Administrative Assistant; additional duties may be assigned as needed.
During business hours, monitor and respond to all dispatch traffic.
Review & Update employee data.
Notify employees of pending renewals/expiration dates.
Ensure all employee time sheets are accurate.
Ensure schedule is complete (all shifts covered) for no less than 30-days out.
Address shift vacancies immediately, ensuring no lapse in coverage.
Ensure all employees have accepted assigned shifts.
Mitigate overtime.
During working/office hours, answer all calls.
Onboard New Employees
Create employee file for all completed employee documents.
Create employee account and demonstrate use to new employee.
Issue uniform(s).
Take ID picture, create ID badge, and issue to employee.
Payroll
Review and ensure accuracy of payroll data.
Update all payroll logs.
Inventory
Update inventory of all company assets.
Process all scheduled payments in a timely manner.
Invoices
Ensure all invoices are prepared, in advance, and that they are accurate and in alignment with contract language.
Ensure all invoices are sent on the first of each month.
Profit and Loss (PNL) Data
Monitor and update all PNL data.

Skills
Proven experience in administrative operations and customer service roles.
Strong computer literacy with proficiency in Microsoft applications.
Excellent organizational skills with attention to detail.
Bilingual abilities are a plus, but not required.
Ability to handle multiple tasks simultaneously.
Strong interpersonal skills with a focus on providing outstanding customer service.
Superior time management skills.
Job Type: Part-time
Pay: From $18.00 per hour
Expected hours: 28 per week
