Basic Function of the Position:
To support the planning and execution of the CTA event portfolio and CES projects as assigned.
Critical Duties and Responsibilities:
Assist with the coordination of CTA events, including:
Assist with event logistics as assigned, including room sets, banquet and event orders, room blocks
Venue and vendor research
Marketing initiatives and coordinating CTA events presence online
Attendee communication and customer service
Signage orders and event shipments
Submitting contracts and invoices
Coordinate attendee logistics as assigned (i.e. activities, transportation)
Build and manage CTA event registration:
Execute registration processes from start to finish, including building and maintaining the systems, providing customer service for attendees leading up to event, running and managing the onsite registration experience, creating reports and administering surveys post-event.
Onboard other departments by providing training sessions and connecting them with the appropriate contacts and resources.
Act as point of contact for registration-related requests.
Support the department administrative responsibilities to include, but not limited to, managing department templates and shared resources, scheduling meetings, maintaining CTA’s industry calendar, events inbox etc.
Conduct event research including outreach to potential venues and arranging site visits.
Collect event data as needed.
Support CES conferences as assigned, including data entry, drafting speaker correspondence and managing projects onsite as needed.
Work Experience: 2-4 years’ experience in event management or related experience.
Education/Training:
Bachelor’s degree in Event Management, Hospitality, Marketing, Communications, Business or related field preferred.
Experience with event registration software preferred.
Skills/Capabilities/Technical:
Strong time-management and organizational skills, with ability to successfully manage multiple projects with varying deadlines simultaneously and comfort level managing onsite programs when needed.
Excellent communication skills with internal and external stakeholders
Capacity to work independently and under pressure, and to meet tight deadlines
Excellent customer service skills are essential
Meticulous attention to detail
Additional Information:
Ability to travel to CES and CTA events as assigned.
