Job Summary
The DNR is seeking to fill a Full-time Office and Admin Specialist Senior position. This position provides reception and administrative support for the Management Resources (MR) section at Central Office. Duties will primarily serve the Buildings and Sustainability program and also support the Design and Construction and Fleet programs, as needed. Additional duties include statewide card access administration, reporting and coordination of scheduled card replacements. The position serves as the primary backup for the Central Office lobby front desk and alternate backup for the Central Office mailroom. The Incumbent will perform duties and functions in a timely, efficient manner and remain in compliance with DNR Administrative policies, Department of Administration policies and operational guidance.
Responsibilities include but are not limited to:
Provide receptionist duties and administrative support services to OSD/MR program staff as requested so that customer service to both internal and external clientele is at a professional level.
Provide statewide card access administrative support and serve as the primary back up to the Front Desk receptionist for the creation, activation/deactivation of access cards.
Assist the BAS Lease Coordinator and Buildings Operations Manager in administering the leasing program
At the direction of the Buildings and Sustainability Manager, this position functions as a liaison between DNR staff and the building lessor’s authorized representative in managing the maintenance, repairs, security, and general upkeep of the Central Office building so that maintenance, repair, and security needs are reported promptly to ensure the safety of staff and visitors.
Complete other duties as assigned to ensure top-level customer service is provided to Operations Services and Management Resources customers.
Qualifications
Minimum Qualifications
Ability to manage an office or work area by planning, organizing, administering, and directing the work of other employees.
Skill in word processing sufficient to use software, such as Microsoft Word, to type and format letters, memos, reports, and minutes of meetings, etc.
Ability to create presentations, tables, charts, and/or graphs from word processing software.
Ability to communicate in a variety of formats to gather and relay information with tact and diplomacy.
Skill in database management sufficient to develop tables sand manipulate, retrieve, and analyze data.
Ability to design and maintain recordkeeping systems.
Ability to present information to diverse customers.
Preferred Qualifications
Three (3) years’ experience in an advanced administrative support role.
Basic Workplace Safety Certification or ability to complete within six (6) months of hire.
Organizational skills to facilitate the creation of statewide staff meetings and events.
Knowledge of the DNR’s Operations Services Division’s Safety operational orders, policies, practices and procedures.
Ability to interpret the DNR’s administrative policies, procedures and documents necessary to carry out the safety and facility duties of this position.
