As the primary administrative support for the Director of Emergency Management, you will be responsible for coordinating meetings and correspondence, preparing briefing information, and providing general administrative support to the Director. You will draft emails and letters on behalf of the Director and coordinate follow-up activities. This position requires a high level of confidentiality and professionalism.
As the Administrative Assistant, you coordinate hiring efforts, including organizing interview panels, scheduling interviews, managing applicant communication, and updating our applicant tracking system, NeoGov. This position will manage the Department’s monthly performance measure updates, including website updates and preparation of dashboards. You will also facilitate the monthly performance measure meetings and track department project statuses and deadlines.
This position works closely with other administrative staff to ensure front desk duties are covered, including walk-ins and telephone calls.

How to be Successful in the Role:
Emergency Management is a dynamic work environment with many opportunities to participate in emergency activations, exercises, and trainings. We are looking for flexibility, exceptional interpersonal skills, strong planning and organizational skills, as well as an adept writer for correspondence needs. Bring in your understanding of customer service and modern administrative practices, along with a “can do” approach, and you will thrive in this role. With your exceptional communication skills, you will be communicating in person and through a variety of electronic modes (phone, email, instant messaging, video conferencing) to assist customers and support your team. Multi-taskers, those with a high fluency in the Microsoft Office Suite of programs (Word, Excel, PPT, and Outlook), and quick learners will be successful in this environment.
This position is primarily in the office, and through collaboration, can include some occasional remote work after a successful training period.
Core Daily Responsibilities:
Provide administrative services for the Director and Deputy Director; make arrangements for meetings and notifies participants, maintain calendars, arrange for travel, transportation, and accommodations, answer questions on the status of current projects, exercise discretion in the type of information given, make appointments, and relay messages of a confidential nature.
Maintain and update appointments to appropriate Boards and Commissions. Handle related correspondence; compose letters and responses to correspondence and memoranda.
Assist in the management of the office. Develop and recommend office policies and procedures. Implement changes subject to the approval of the supervisor.
Participate in the collection of data and preparation of complex reports requiring thorough knowledge of departmental operations, procedures, and regulations. Conduct research and special studies in needed areas and prepare reports with recommendations for corrective actions. Draft correspondence for the director and deputy director, manage files, and prepare documents.
Prepare PowerPoint presentations and coordinate with other County administrative personnel.
Support the department in tracking required training.
This position may be asked to support the Emergency Operations Center during activations and exercises. This may require extended hours during emergencies.

Qualifications
A resume and cover letter are required for this position.
Three or more years of progressively responsible clerical/administrative experience, which includes experience directly related to the duties of the position.
Additional education or experience may substitute for the recruiting requirements.
