Position Summary
Diablo Roofing INC is seeking a highly organized, detail-oriented Office Administrative to support our office operations and field teams. This individual will play a key role in ensuring efficient day-to-day functions, including call handling, document preparation, permit coordination, database maintenance, and receipt entry into our accounting system (Sage 100 Contractor). The ideal candidate is proactive, professional, and capable of managing multiple tasks in a fast-paced construction environment.
Key Responsibilities
Front Desk & Communication
Answer and route incoming calls professionally and efficiently
Greet and assist office visitors and vendors
Monitor general company email inbox and forward messages appropriately
Office Administration & Supplies
Maintain office supply inventory and place orders as needed
Coordinate service and repairs for office equipment
Keep the front office and common areas clean and organized
Project & Estimator Support
Assist estimators with document preparation, printing, and scanning
Organize and maintain bid folders (digital and physical)
Help track bid and proposal due dates
Coordinate signatures on bid-related documents
Permits & Compliance
Submit permit applications online or in person
Monitor and track permit status
Coordinate inspections and maintain permit records
Filing & Data Management
Maintain physical and digital project files
Scan and archive documents for easy retrieval
Keep shared drives and internal systems updated and well-organized
Accounting Support
Collect, organize, and code receipts for job costing
Enter receipts into Sage 100 Contractor or similar accounting software
Match receipts with statements and resolve discrepancies
As Needed
Support timecard review and data entry
Assist with onboarding new employees (paperwork, welcome packets, etc.)
Track subcontractor insurance certificates and expiration dates
Job Type: Full-time
Pay: $25.00 – $30.00 per hour
Expected hours: 8 per week
