Job Description – Staff Assistant (2501720)
Position Title: Staff Assistant
Required Qualifications (as evidenced by an attached resume):
Bachelor’s Degree (foreign equivalent or higher)
Two (2) years of full-time administrative experience
Proficiency with Microsoft Office Suite
Preferred Qualifications:
Experience at a university or college
Experience in college admissions
Administrative support experience with undergraduate, graduate, or professional students
Experience supporting supervisors, executives, or C-suite
Knowledge of relevant software/applications (e.g., Blackboard, Web Admit, EHR)
Brief Description of Duties:
The staff assistant will support the Associate Dean for Education and assist with the operations of the Office of Education.
Admissions:
Assist with predoctoral admissions recruitment, application screening, interview coordination, and report preparation
Organize applicant interviews, notify candidates, secure rooms, and coordinate interview logistics
Prepare invoices and receipts for catering and procurement
Maintain applicant correspondence and data in electronic databases
Generate statistical reports and coordinate Admissions Committee meetings
Event Coordination:
Assist with organizing events like Graduation, White Coat Ceremony, orientations, and celebrations
Prepare materials, coordinate logistics, and support during events
Support student club activities and fundraising events
Administrative Support:
Serve as liaison among applicants, students, faculty, staff, and the Associate Dean
Manage communications, schedule meetings, and maintain records
Assist with data analysis, reporting, and updating recruitment materials
Supervise student workers and manage office supplies and equipment
Academic Affairs:
Support operations like data gathering, document verification, and scheduling
Proctor exams as needed
Other Duties:
Perform additional tasks or projects as assigned by the Associate Dean of Education.
Notes:
This is a full-time, non-exempt position eligible for overtime
Designated as an essential position with required emergency reporting
Cannot sponsor work visas
Includes $3,400 UUP annual location pay
