Job Overview
We are seeking a highly organized and personable Receptionist/Administrative Assistant to join our team. This role is essential in ensuring smooth daily operations and providing exceptional customer support. The ideal candidate will be the first point of contact for clients and visitors, managing front desk responsibilities while supporting administrative tasks.
Duties
Answering Incoming Calls:
Greet customers, contractors, and suppliers professionally.
Handle inquiries about roofing services, products, or estimates.
Respond to customers questions or concerns
Schedule calls to appropriate departments or individuals, such as sales, accounts and receivables, or project managers.
Take detailed messages and ensure they are passed on to the right person.
Greeting Customers at the Front Desk:
Welcome visitors and customers as they arrive at the office.
Assist with checking in and notifying the appropriate team member.
Provide any necessary paperwork or materials to customers (such as estimate forms or payment receipts).
Maintain a friendly and professional presence in the office reception area.
Scheduling Roof Estimates:
Coordinate with potential customers to schedule roof inspections or estimates.
Maintain a detailed calendar of all scheduled appointments for estimates.
Ensure the sales team or estimator has all necessary information for the meeting.
Managing Salesmen’s Schedules:
Maintain and update the schedules of the sales team to avoid conflict.
Ensure salespeople are on track with appointments, estimates, and customer meetings.
Send reminders or updates to the sales team about changes in schedules.
Checking and Handling Mail:
Sort and distribute incoming mail, including payments, contracts, or other official documents.
Office Organization and Miscellaneous Tasks:
Maintain office supplies and equipment.
Tasks Delegated by the Office Manager:
Assist with special projects or initiatives as assigned by the office manager.
Help prepare reports or presentations for management meetings.
Assist with preparing materials for employee training or onboarding.
Take on any additional office management duties as needed, such as ordering office supplies or organizing storage spaces.

Pay: From $42,000.00 per year
