Department Information

The Office of the Vice President for Student Success (OVPSS) serves as Indiana University’s strategic home for all student success initiatives across the campuses. The OVPSS advocates for student interests and the student perspective in all IU decision-making. Amplifying the use of research and data to inform their work, the OVPSS team works with leaders across all university campuses in developing and guiding the implementation of strategic initiatives to enhance the student experience university wide so all students can engage and thrive at IU. The Office of the Vice President for Student Success is the home for the Student Success and Opportunity pillar for IU 2030, and oversees and/or coordinates with critical student-success functions including academic advising, career development, success coaching, student success training and development, university-wide retention initiatives, student access and opportunity programs, financial wellness and education, student affairs and engagement, student health and wellbeing, and enterprise-wide student success platforms. In addition, the OVPSS team regularly engages with multiple stakeholders, student success advisory groups, communities of practice, and leaders across all IU campuses to most effectively center and support students at every stage, from prospective student to alumni.

Job Summary

Department-Specific Responsibilities

Serves as point of contact for the IU Bloomington OVPSS office for guests, visitors, IU staff, and outside partners for meetings and events.
Manages scheduling and logistics for OVPSS AVP leaders including calendaring, securing meeting locations, and other hospitality items.
Performs administrative and other office duties such as ordering office supplies, completing financial documentation, meeting note taking, coordinating travel, and general office organization.
Supports various projects within the office as well as multi-campus projects.
Assists with meetings and events at IU Bloomington, IU Indianapolis, and regional campuses, including meeting logistics, help with room reservations, and hospitality requests.
Coordinates frequently with assistants from other departments for schedule planning and adjustments.
Manages a high volume of confidential correspondence and requests from internal and external stakeholders.
Independently manages priorities and tasks by being detailed and well-prepared while making sure deadlines are met despite frequent interruptions.
Reports to the Assistant to the Vice President for Student Success.
Serves as the backup to the Assistant.

General Responsibilities

Provides administrative support to executives while exercising confidentiality, tact and diplomacy.
Utilizes business software applications to prepare correspondence, reports, presentations, agendas, minutes, etc.
Receives, screens, and directs incoming calls, visitors, mail, and email promptly, courteously, and accurately.
Manages executive’s calendar, meetings, travel, correspondence, and budget.
Acts as informal resource for colleagues with less experience; responds to more complex or escalated inquiries.
Identifies, enhances, and follows specific processes and procedures to maximize the efficiencies of the business to which the support is being provided.
May perform other duties related to maintaining an internal website and/or working with social media.

EDUCATION

High school diploma or equivalent (such as HSED or GED)

Working Conditions / Demands

This role requires the ability to effectively communicate and to operate a computer and other standard office productivity equipment. The position involves sedentary work as well as periods of time moving around an office environment and the campus. The person in this role must be able to perform the essential functions with or without an accommodation.

This role requires some periodic travel to other IU campuses.

Advertised Salary

$42,000 – $47,500 per year depending on skills and experiences of the top candidate
