Position Summary

Fill two part‑time Student Administrative Support Assistant positions in the Student Community Standards office at Oregon State University. The role is the first point of contact for visitors, answering phone and email inquiries, providing information on the student conduct process, and facilitating communication between students and the SCS staff.

Responsibilities

  • Reception duties:
    • Greet and escort visitors to the appropriate office.
    • Answer the main telephone line, provide information on the conduct process, schedule appointments, submit paperwork, refer callers, take messages, monitor voicemail, and respond to email queries.
    • Monitor the office email account and forward communications to relevant staff.
  • Administrative duties:
    • Review incident reports for potential violations of the Code of Student Conduct or university policy.
    • Develop individual student case files in the university conduct database.
    • Draft communications to students using standard templates.
    • Assist with compiling and preparing outreach, training, and committee hearing materials.
  • Contributions to SCS:
    • Attend staff meetings and trainings as scheduled.
    • Communicate concerns raised by office users to appropriate staff leadership.
    • Work on special projects as directed by the Operations Coordinator.

Qualifications

  • Required to be a critical or security‑sensitive position; must successfully complete a Criminal History Check and be determined position qualified per OSU Standard 576‑055‑0000 et seq. All incumbents self‑report convictions;
    Youth Program staff may need further checks every 2 years.
  • OSU will conduct a review of the National Sex Offender Public website prior to hire.
  • Academic standing: must be academically enrolled and in good standing (students on academic suspension are not eligible). Minimum enrollment standards apply (high‑school: regular enrollment or home‑schooling program; undergraduate: 6 credit hours/term; undergraduate international: 12 credit hours/term; graduate: 5 credit hours/term; graduate international: 9 credit hours/term).
  • Administrative and communication skills:
    • Basic computer skills (Word, Outlook, Excel).
    • Organizational and multitasking abilities.
    • Discretion with confidential materials.
    • Strong written, verbal, and non‑verbal communication; ability to handle upset or emotional people and diverse populations.
    • Patience and compassion when communicating with non‑native English speakers.
  • Privacy: maintain confidentiality of FERPA‑stated records, visitor, student, staff, faculty and parent information.
  • Travel to different locations within the suite and campus during shifts; perform duties on computer, phone, or copy machine with interruptions; teamwork orientation required.

Preferred Qualifications

  • Graduate student status
  • Prior administrative office experience
  • Knowledge of the Oregon State University Code of Student Conduct

Working Conditions

Part‑time, during normal business hours 8:00 a.m.–5:00 p.m.; schedule to be arranged upon hiring.
