JOB GOAL
Provides administrative/clerical support for the designated Cluster Superintendent in the areas of payroll, correspondence, report preparation, inventory management, budget maintenance, public relations, and information dissemination.
POSITION QUALIFICATIONS:
o Associate Degree (Required)
o Bachelor’s Degree in Communications Degree (Preferred)
o Minimum of 2 years of experience as a secretary (Preferred)
o Fluent in Spanish (Preferred)
DUTIES AND RESPONSIBILITIES:
o Meet and interact with the public and employees in routine situations which require tact, discretion, and courtesy including answering phones and taking messages.
o Give information and interpretations of policies or procedures related to departmental or designated campus activities.
o Establish, maintain and monitor accurate, neat, and efficient electronic and manual filing systems.
o Sort and classify incoming mail and other information for efficient disbursement to appropriate recipients.
o Prepare, compose, and design letters, memoranda, reports, bulletins, handbooks, questionnaires, requisitions, brochures, board packets, policy book information, and other materials from marginal notes, rough drafts, verbal instructions, etc.
o Compile information from various sources on a variety of standardized forms of reporting purposes.
o Assist in the orientation and training of certain employees or volunteers.
o Prepare accurate meeting minutes.
o Ability to handle confidential information.
o Book events. o Make travel arrangements, provide meals, etc. as necessary.
o Use effective, positive interpersonal communication skills.
o Perform other duties as assigned.
SKILLS AND ABILITIES:
o Ability to communicate effectively in both written and oral forms with all levels of management, both internal and external to the district.
o Ability to establish and maintain effective working relationships both internal and external to the district.
o Ability to organize special programs for assigned campus.
o Ability to use computer including software, database used by the district, spreadsheet and word processing software, calculator, copy machine and telephone.
o Ability to analyze data
o Ability to use effective interview techniques, effective public speaking skills, and problem-solving skills
WORK ENVIRONMENT AND PHYSICAL REQUIREMENTS:
o Light Work: may require occasional light lifting.
o Nights and weekend activities will be occasionally required.
o Position is in the office setting and may involve prolonged work at a desk in one location.
o Moderate travel is required.
