The Service Scheduler is responsible for efficiently coordinating and scheduling the daily activities of service technicians across multiple regions and locations. This position involves creating and maintaining technician schedules, managing workflow, and ensuring effective resource allocation to meet customer needs. The Service Scheduler will also communicate with customers, resolve scheduling conflicts, and support the service department in achieving its business goals.
Key Responsibilities:
Develop and manage job schedules and work orders for 75+ technicians, ensuring timely service delivery across multiple locations.
Continuously monitor and adjust schedules throughout the day to accommodate urgent service requests, changes in technician availability, and/or unforeseen circumstances.
Confirm appointments with customers, provide updates on technician arrival times, and address any inquiries or concerns to ensure a positive customer experience.
Plan and coordinate travel, multi-day projects, and overnight trips for technicians, ensuring all necessary parts and equipment are available for each job.
Utilize internal scheduling software tools to maximize technician capacity and ensure efficient service delivery.
Promptly address and resolve scheduling conflicts to minimize disruption to service operations.
Generate and analyze reports on technician productivity, service response times, and customer satisfaction to support performance improvements.
Provide administrative support to the service department, maintaining accurate records of service requests, technician assignments, and job completion statuses.
Collaborate with other departments to align schedules with business goals, ensuring seamless coordination across teams.
Qualifications:
Bachelor’s degree in business administration or related field from an accredited college or university and three to five years of relevant experience, or an equivalent combination of education, training, and experience.
Demonstrated experience in scheduling or dispatching roles, preferably in a field service or similar environment.
Strong organizational, time-management, and multitasking skills.
Ability to manage complex schedules and prioritize tasks effectively.
Excellent verbal and written communication skills to coordinate with team members, customers, and other departments.
Proficiency with scheduling software and basic business mathematical calculations.
Ability to think logically and outside of the box to find creative solutions to unexpected challenges.
Problem-solving skills and the ability to adapt to changing circumstances.
Ability to work under pressure and meet deadlines while maintaining high service standards.
