The Assistant Registrar, Registration & Reception provides strategic, visionary, and proactive leadership to plan, organize, and manage the overall operations of the following key functions of the Registrar’s Office: student registration, student records processing, reconciliation and validation of credentials, and all aspects of the front desk reception and registration area. The Assistant Registrar assists with all operations of the records and registration functions, including technology initiatives, staff training and development of functions of the student information system (Ellucian Banner) and other associated registration tools, staff supervision, and ensuring college compliance with the Family Educational Rights and Privacy Act (FERPA), as well as adherence and to and regulation of internal and external policies, procedures and regulations. Hires, trains, schedules, supervises, and evaluates employees.

Scope:
Responsible for overseeing the daily operation of Registration & Reception while supporting the Records & Data Management team. Oversees the daily operations of the registration and reception team in the Office of the Registrar within the Enrollment Management area in the absence of the Associate Registrar. Serve as key member of the Office of the Registrar CORE Leadership Team, providing input on division and College strategic initiatives.
Essential Responsibilities and Duties
Coordinate and manage various student records.
Assist students, staff and/or faculty with registration (drop/adds etc.), processing transcripts, entering data in Banner Student Information System (change of major, grade changes, academic renewals, registration appeals, registration exceptions etc.) and recording challenge exams and internal archive records.
Participate in development/formulation, approval, and implementation of new and existing Office and College policies and procedures.
Respond to inquiries from students, faculty, and staff.
Gather and report a wide range of data and key performance indicators to campus, state, and federal constituencies.
Participate with and oversee parts of the end/start of term processing such as, academic renewals, repeat processes, grades, program of study changes, catalog updates, duplicates, challenge exams, enrollment verifications, high school transcripts, and class scheduling conflicts (e.g., section changes/cancellations).
Oversee data imaging projects.
Act as a support for the Records and Data Management team.
Support NJCAA Athletic Eligibility.
Manage numerous email boxes/processes such as guest student, enrollment exceptions, enrollment verifications, high school transcripts etc. which consists of thousands of requests each semester from students, staff and faculty. This includes the supervision of numerous email box users.
Manage the Guest Student admission application in relation to the student registration process.
Oversee the Verification process for in person enrollment and degree verification.
Troubleshoot high volume of faculty and student concerns and issues.
Ensure the latest version, conversions, and updates for the student information systems and registration tools are implemented.
Assist with complex database and computer issues.
Coordinate and conduct Banner system testing of upgrades and enhancements.
Correspond with the Ellucian Support Center to extract and implement pertinent information.
Build professional relationships with student information system contacts (e.g., Ellucian Banner and College Scheduler).
Work directly with and provide training on the student information system, various data bases, and software for students, staff and faculty.
Build rapport with College departments. Represent ORAR on various college committees and represent college in state, and regional organizations.
Hire, train and supervise full time and part time employees. Assure adequate coverage is met for phone and frontline reception. Employ professional staff who are trained on customer service skills and knowledgeable on procedures and processes.
Essential Responsibilities and Duties Continued Minimum Qualifications
Bachelor’s degree in related field.

Trade off 2:1 in experience/education requirement.
Preferred Qualifications
Two (2) to four (4) years direct, paid, full-time Higher Education Student Affairs experience.
Knowledge, Skills & Abilities
The Assistant Registrar, Registration & Reception must:
Have knowledge of daily operations of the Registrar Office including but not limited to knowledge of general Registrar Office policies and processes and online services in a college setting.
Possess strong organizational, communication (written and verbal), and interpersonal skills in the areas of collaboration, team participation, and decision-making.
Demonstrate strong analytical and problem-solving skills to anticipate possible results of actions and decisions.
Have proficient computer skills using a range of products including Microsoft Suite, Adobe suite, student information systems (e.g. Banner), data imaging systems (e.g. Etrieve) and reporting tools (e.g. Cognos).
Possess working knowledge in employee and supervision related tasks/duties including hiring, scheduling, training, payroll, conflict resolution, terminations, and mandatory and safety training follow-up. Complete annual performance evaluations for all staff members.
Have working knowledge of academic records including but not limited to transcripts, grades, programs of study (majors), appeals, registration, athletic eligibility, admissions, and a variety of Student Affairs policies, procedures, processes and forms.
Have skills in examining and re-engineering operations and procedures, formulating policy, and developing and implementing new strategies and procedures.
Be familiar with procedural experience with the National Student Clearinghouse Database.
Be familiar with the Government Records Access and Management Act (GRAMA) and the Americans with Disabilities Act (ADA).
Have a deep understanding of Family Educational Rights and Privacy Act (FERPA).
