Nature & Scope
This Administrative Assistant – Summer Student position offers an opportunity to gain office work experience and develop teamwork, communication, administrative and leadership skills. Duties include maintaining a high level of accuracy and handling confidential information with integrity, and promoting the institution’s vision, mission and mandate.
Specific Accountabilities
- Answer and direct routine inquiries promptly
- Answer the phone in accordance with SIIT standards; transfer calls where appropriate and take messages as required
- Greet and interact with clients and visitors in a timely, professional and pleasant manner; determine the nature of visitors’ business and provide appropriate information
- Manage the front office, including opening and closing the office following applicable procedures, and maintaining a clean front reception area at all times
- Provide administrative assistance such as data entry, filing, archiving, photocopying, scanning etc.
- Coordinate all logistics of meeting requests, including booking rooms, setting up and taking down technology requirements, catering and refreshment requirements, and travel and accommodation arrangements as needed
- Receive, sort, and send mail, courier packages, and faxes
- Purchase and maintain adequate supply levels such as general office and coffee supplies
- Provide additional support on special projects and department initiatives as required
Eligibility Criteria
- First Nations and Inuit secondary and post-secondary students aged 15 to 30 inclusive
- Ordinarily resident on reserve or in recognized communities or on community lands
- Legally entitled to work in Canada
- Registered as students during the preceding academic year and intend to return to studies in the next academic year
Position Requirements
Prior experience working with Microsoft Office suite of programs is an asset.
