Location: Hybrid (Combination of Remote & In-Office Work at Various Locations in Wisconsin (Primarily Tomah & New Lisbon when on-site)

We are seeking a highly organized and proactive Administrative Assistant to support our daily operations. This position plays a vital role in ensuring the smooth flow of administrative processes, assisting with HR tasks, coordinating business meetings, maintaining office efficiency, and fostering a strong team culture.
Position Summary
The Administrative Assistant is responsible for providing front desk support, managing scheduling, assisting with HR-related tasks, coordinating business meetings, maintaining office organization, and handling general administrative duties. This role requires excellent communication, organizational, and multitasking skills to support both clients and staff.
Key ResponsibilitiesFront Desk & Administrative Support
Welcome and assist clients, visitors, and staff with professionalism and warmth.
Answer and direct phone calls, emails, and inquiries promptly and professionally.
Manage client intake, appointment scheduling, and confirmations.
Maintain accurate records, files, and data entry for administrative needs.
Assist clinical staff with paperwork, documentation, and office-related tasks.
Office & Facility Coordination
Ensure office supplies, materials, and therapy resources are stocked and ordered as needed.
Maintain a clean, organized, and functional office environment.
Coordinate office maintenance and facility-related concerns.
Serve as a liaison with vendors for office supplies and services.
HR & Team Support
Assist with onboarding new employees, ensuring all necessary paperwork is completed.
Help maintain personnel records, scheduling, and administrative HR tasks.
Support leadership in coordinating team meetings, disciplinary documentation, and compliance tracking.
Foster a positive team culture through team-building initiatives, communication support, and employee engagement.
Business & Meeting Coordination
Schedule and prepare agendas for staff and leadership meetings.
Take meeting minutes and distribute follow-up documentation as needed.
Assist with administrative tasks related to compliance, company policies, and operations.
Qualifications & Skills
Education: Must have a high school diploma or GED.
Experience: Minimum of 1-2 years prior experience in administrative roles, office support, HR-related tasks, or team coordination preferred.
Skills Required:
Strong communication and interpersonal skills.
Proficiency in Google Workspace and scheduling software.
Excellent attention to detail, organization, and time management.
Ability to handle sensitive information with confidentiality.
Problem-solving skills with a proactive, self-motivated approach.
Ability to foster a positive team environment through collaboration and engagement.
Work Environment:
Hybrid schedule with both remote and in-office work.
Occasional travel between office locations as needed.
Compensation & Benefits
Wage Scale: $16–$20 per hour, based on experience and qualifications.
