Position:

Switchboard Operator

Under the supervision of the Supervisor/Manager, the switchboard operator is responsible for handling and properly addressing all incoming calls.

Responsibilities:

Handle and address all incoming calls efficiently and professionally.

Operate the telephone system and route calls to the appropriate person or department.

Exercise discretion and judgment during contact with callers, especially in stressful situations.

Answer incoming calls promptly (within three rings) and direct them accordingly.

Identify the correct business units or personnel for callers when not immediately obvious.

Respond to emails and communicate effectively with team members.

Track all incoming call volumes and report monthly data to the manager.

Update call scripts, contact lists, and procedures as needed.

Assist with shipments and support the front counter during downtime.

Cover lunch breaks and the last hour at the front counter.

Participate in cross-training in the mailroom and other functions.

Perform additional tasks as assigned by the manager.

Qualifications:

High School Diploma.

Experience as a receptionist or in a similar role in a corporate environment preferred.

1-3 years of experience with Microsoft Office (Word, Excel, Outlook).

Strong work ethic, diplomacy, and a service-oriented attitude.

Excellent verbal communication and phone skills.

Exceptional customer service skills.

Professional demeanor, appearance, and attitude.

Ability to remain calm under pressure and be resilient.

Good judgment and problem-solving skills.

Ability to handle confidential and sensitive information appropriately.

Flexibility and adaptability to changing work environments.

Assertiveness, resourcefulness, motivation, and initiative.
